Role Overview
We are seeking a TMS Patient Care Coordinator based at our Arlington Heights location, working onsite full-time with a fixed schedule from 12:00 PM to 8:30 PM, Monday to Friday. This position involves facilitating treatment sessions for patients diagnosed with Major Depressive Disorder (MDD), Obsessive-Compulsive Disorder (OCD), and other mental health conditions. Transcranial Magnetic Stimulation (TMS) is an FDA-approved, non-invasive, and non-systemic treatment for depression and OCD. The coordinator will administer TMS therapy under supervision while supporting patient recovery and tracking treatment outcomes.
Key Responsibilities
- Educate and consult with prospective patients interested in TMS therapy.
- Administer TMS treatments to patients consistently and safely.
- Ensure a secure and therapeutic environment during all treatment sessions.
- Handle administrative duties such as managing leads, reporting clinical statistics to management, scheduling patient appointments, collecting copayments, and maintaining HIPAA-compliant medical records.
- Participate actively as a clinical team member, engaging in meetings and collaborative activities.
- Support clerical processes by providing documentation for insurance preauthorization and claims reimbursement.
- Deliver excellent customer service experiences in every patient interaction.
- Perform additional related duties as assigned by management.

- Proactive problem-solving during treatment challenges using critical thinking.
- Strict adherence to safety guidelines concerning TMS equipment use and patient care.
- Technical proficiency in the operation, setup, calibration, troubleshooting, and maintenance of TMS machinery.
Qualifications
- Bachelor’s degree in Psychology, Neurobiology, Social Work, Pre-Med, or related disciplines from an accredited university.
- Strong oral communication and organizational skills.
- Familiarity with Microsoft Office software, billing systems, and insurance processes.
- Experience or knowledge in clinical interviewing techniques.
Compensation and Benefits
- Hourly pay range: $25.00 to $27.00.
