Role Overview
The Technical Clerk at ZMI Holdings plays an essential role in boosting administrative productivity and refining document management within the marine operations division. This position supports Engineers, Supervisors, and technical teams by overseeing technical document handling and assisting with reporting and maintenance administration, allowing core operational tasks to proceed efficiently.
Core Responsibilities
- Organize and upkeep technical documentation and record systems according to company protocols.
- Prepare maintenance and service reports, job completion files, and technical communications.
- Support the administration of work orders, maintain document controls, and track maintenance workflows.
- Manage procurement documents, spare parts logs, and inventory data.
- Facilitate technical information exchange among vessels, workshops, suppliers, and departments.
- Update maintenance management databases and ensure data accuracy and timeliness.
- Assist in compiling reports, KPI monitoring, and performance data for supervisory and engineering staff.
- Keep thorough records to aid audits, inspections, compliance with regulations, and certification standards.
- Ensure document retention aligns with company and marine industry regulations.
- Provide broader administrative support to Technical and Marine Operations units as needed.
Minimum Qualifications
- Diploma or Bachelor’s degree in Business Administration, Technical Administration, or related discipline.
- Two to three years’ experience in roles such as administrative clerk, technical clerk, document control, or maintenance coordination.
- Preferred background in marine, shipping, offshore, engineering, maintenance, or industrial sectors.
- Knowledge of maintenance documentation, work order systems, and managing technical records.
- Proficient with Microsoft Office tools, including Excel, Word, Outlook, and PowerPoint.
- Experience with ERP systems or maintenance tracking software platforms.
- Strong organizational skills and meticulous attention to detail.
- Effective communication skills, both written and oral.
- Capability to handle multiple assignments and meet operational deadlines in a demanding environment.
- High accuracy in data entry and record maintenance.
