Position Summary
The Spare Parts & Logistics Coordinator plays an essential role within ON.energy's Operations & Maintenance (O&M) team. This role oversees the entire spare parts supply chain—including procurement, warehousing, and distribution—to ensure swift availability and deployment of parts across active BESS sites, minimizing equipment downtime. The position is based in Houston, Texas, requires presence in the office one day a week, and supports a growing portfolio of utility-scale projects primarily in Texas.
Key Responsibilities
- Manage partnerships with third-party logistics providers and warehouse operators responsible for storing spare parts inventory.
- Assess and onboard additional warehouse or 3PL contractors as the project portfolio grows.
- Prepare and update estimates of storage requirements such as volume, pallet count, weight, and throughput to aid RFQ processes.
- Request, evaluate, and negotiate storage service proposals; provide cost analyses and recommendations to leadership.
- Ensure logistics partners meet defined service level agreements for receiving, storing, and shipping.
- Obtain and manage quotes from OEM suppliers and distributors for components including inverters, transformers, battery modules, and associated electrical equipment.
- Maintain vendor database with pricing, lead times, and availability to support strategic procurement choices.
- Issue purchase orders, track deliveries, and reconcile shipments in coordination with finance and field teams.
- Identify alternative sourcing options to minimize supply chain risks and reduce lead times.
- Develop and maintain site-specific spare parts strategies aligned with maintenance plans, warranty terms, and uptime objectives.
- Set and monitor minimum and maximum stock levels to prevent unplanned downtime across project locations.
- Keep inventory records up to date in the Computerized Maintenance Management System (CMMS), including physical counts and stock locations.
- Conduct regular physical audits of inventory at warehouses and project sites.
- Collaborate with O&M management and field technicians to forecast parts needs based on maintenance schedules and equipment failure trends.
- Act as the logistics liaison for field teams, coordinating urgent shipments to reduce downtime.
- Support supplier and 3PL contract negotiations by providing data on costs and consumption.
- Maintain thorough documentation for all procurement and logistics activities to support audits, warranties, and compliance requirements.
Qualifications
- At least 5 years of experience in spare parts management, logistics coordination, supply chain operations, or a related area.
- Experience collaborating with third-party logistics providers or warehouse operators, especially in industrial storage settings.
- Proficiency with inventory management software or CMMS platforms like Fiix, SAP, Maximo, or equivalent.
- Strong analytical skills, capable of preparing cost estimates, inventory models, and vendor evaluations using Excel or similar tools.
- Excellent organizational skills with attention to detail and ability to handle multiple priorities concurrently.
- Effective written and oral communication skills for vendor negotiation and cross-team coordination.
- Preferred: Background in energy, utilities, or heavy industrial equipment sectors, familiarity with BESS or high-voltage electrical components, and knowledge of freight logistics, Incoterms, and shipment coordination (LTL/FTL).
- Preferred: Awareness of safety regulations such as NFPA 70E and Lockout/Tagout (LOTO) protocols.
