Role Overview
This full-time, on-site position in Dubai calls for a Secretary who can keep office administration running smoothly and support senior staff with daily coordination. The role covers phone and email handling, correspondence, document preparation, filing in both physical and digital formats, scheduling, travel arrangements, meeting support, and basic reporting or presentation work. It also includes company secretarial support such as maintaining records, preparing minutes, and assisting with compliance-related documents. The position requires regular interaction with internal teams and outside partners while delivering prompt, courteous support.
Key Duties
- Manage incoming calls, emails, letters, and other office correspondence.
- Prepare documents and keep filing systems organized and up to date.
- Support executives with calendars, meetings, appointments, and travel planning.
- Create simple reports and presentation materials when needed.
- Assist with company secretarial tasks, including records management and meeting minutes.
- Help maintain documentation linked to compliance and corporate administration.
- Coordinate with internal departments and external contacts to keep operations moving efficiently.
- Provide responsive customer-facing support and contribute to smooth day-to-day office functioning.
Qualifications and Skills
The ideal candidate should have strong administrative and clerical ability, excellent written and verbal communication, and the confidence to work with both colleagues and external stakeholders. Experience in corporate secretarial work, executive support, and basic customer service is valuable. Strong MS Office capability, comfort with office systems, attention to detail, and the ability to juggle multiple priorities in a busy setting are important. Prior experience in administration or secretarial work, especially in healthcare, distribution, or a similar field, is preferred. A diploma or bachelor’s degree in business administration, office management, or a related subject is also preferred.
