Request for Quotation Specialist – Arabic Speaker

Overview

This position supports quotation and order handling for a global manufacturer in the industrial equipment and B2B capital goods space. The business supplies, installs, and supports large machinery and engineered systems used in manufacturing, processing, and production settings across the MEA region.

The role is based in Dubai, UAE, with a monthly salary range of AED 15,000 to AED 18,000. It centers on converting customer inquiries into formal quotations and then into confirmed purchase orders, while ensuring strong coordination across commercial, technical, finance, and logistics teams. ERP tools are used to maintain accuracy, traceability, and efficiency in the workflow.

The MEA region environment is varied and multi-country, so the role demands strong coordination, commercial awareness, and the ability to manage time-sensitive requirements, different business practices, and regulatory considerations.

Role summary

The specialist will oversee the full quotation lifecycle, from RFQ receipt through to final order conversion. The role also includes maintaining reliable system records, improving operational flow, supporting commercial execution, and helping internal and external stakeholders move quotations smoothly through the sales process.

Responsibilities

• Review incoming RFQs each day and ensure they are followed up and processed without delay.
• Keep quotation records current in ERP platforms, including customer communication, follow-up actions, expected closure dates, and reasons for any delay.
• Drive the transition of quotations into confirmed orders and reflect those changes correctly in the system.
• Maintain complete and accurate documentation for all quotation-related activities in the relevant business systems.
• Work with customers and internal teams to keep quotations moving steadily through the sales cycle.
• Prepare recurring reports on open quotes, quotation aging, conversion performance, lost business, and pending follow-ups.
• Deliver weekly and monthly performance updates to management.
• Raise commercial and operational concerns such as pricing issues, approval bottlenecks, and payment-related obstacles.
• Support communication across departments so order conversion stays smooth and blockers are resolved quickly.

Requirements

• A bachelor’s degree in Engineering, Business Administration, or a comparable qualification is required.
• At least 5 to 10 years of experience in service operations, sales support, or commercial operations within the large manufacturing or engineering sector is mandatory.
• Advanced use of Microsoft Office is needed, with strong Excel skills for analysis and reporting.
• Practical familiarity with ERP systems such as SAP or similar platforms is expected.
• Strong capability in analysis, organization, and reporting is essential.
• Native Arabic fluency is mandatory.
• Ability to handle several priorities in a fast-moving, deadline-sensitive environment is important.
