Role Overview
As a Recruiting Coordinator at Roboflow, you will play a crucial role in streamlining our hiring process by managing interview logistics and ensuring a seamless candidate experience. You will collaborate with recruiters, hiring managers, external partners, and candidates to maintain momentum in recruitment efforts across various departments, including sales, marketing, engineering, and operations.
Key Responsibilities
- Coordinate and manage interview scheduling, rescheduling, calendar logistics, and communications to provide a polished candidate journey.
- Partner closely with hiring teams and external recruiters to keep the hiring pipeline organized and progressing efficiently.
- Maintain precise records of candidate status, job openings, and interview stages within the ATS system (Ashby).
- Assist in preparing interview plans, candidate materials, scorecards, and updates for hiring managers.
- Monitor recruitment progress, identify blockers, and track feedback delays and scheduling issues to expedite processes.
- Support weekly search health meetings by preparing agendas, notes, and action follow-ups.
- Develop and enhance recruiting workflows, documentation, templates, checklists, and reporting mechanisms.
- Assist in offer processes and onboarding logistics in collaboration with the People team as necessary.
- Build trusted relationships with candidates, interviewers, recruiters, managers, and company leaders to promote effective communication and operational excellence.
Candidate Profile
- Strong organizational, communication, and operational skills with the ability to thrive in fast-paced and ambiguous environments.
- Between 1 to 3 years of experience in recruiting coordination, talent operations, people operations, executive assistance, or similar roles involving high-volume coordination.
- Exceptional written and verbal communication skills, presenting Roboflow professionally to both candidates and internal stakeholders.
- Meticulous attention to detail with high capacity to manage multiple tasks simultaneously without errors.
- Ability to work effectively across diverse calendars, time zones, and shifting priorities.
- Proactive ownership with excellent follow-up skills to address uncertainties or process delays.
- Sound judgment regarding candidate experience, confidentiality, urgency, and inter-team communication.
- A bias toward acting swiftly and clearly, maintaining alignment among all parties involved.
- Comfort in prompting busy colleagues for feedback and decision-making to keep recruitment cycles moving.
- Experience with applicant tracking systems or similar recruiting tools such as Ashby, Greenhouse, Lever, or Calendly.
- Capability to design streamlined processes without unnecessary bureaucracy.
- Enthusiasm for technology, particularly AI and computer vision, and autonomous working style with accountability.
Work Environment
Roboflow operates as a distributed team with hubs located in New York City, San Francisco, Brazil, and Singapore. The company offers flexibility including remote work, coworking options, relocation bonuses, and an annual $4,000 travel stipend for in-person collaboration. Compensation & Benefits
The target base salary range for this position is $75,000 to $95,000, complemented by equity compensation. Compensation and role scope will be adjusted based on experience and impact. Benefits include up to 100% health insurance coverage for employees and their families, unlimited paid time off with a two-week minimum, 12 weeks parental leave, remote-friendly scheduling, a $350 monthly productivity stipend, and a $4,000 yearly travel stipend to support working alongside teammates worldwide.
Interview Process
- Application review focusing on organizational ability, detail orientation, and process improvement contributions.
- Initial 30-minute interview with the hiring manager.
- 45-minute meeting with People Operations.
- A 45-minute session with a cross-functional partner or another hiring manager.
- A final 60-minute deep dive covering coordination skills, candidate experience insights, and recruiting system knowledge.
