Job Overview
The role of the Receptionist is to warmly greet visitors and handle telephone communications, focusing strictly on clerical duties within the Reception and Administrative area. This position explicitly excludes any clinical responsibilities.
Key Responsibilities
- Provide general office support through varied administrative and clerical tasks.
- Welcome patients, clients, and visitors in a courteous and cheerful manner.
- Manage incoming phone calls by taking messages or redirecting calls appropriately.
- Register visitors and guide or escort them to their destinations as needed.
- Notify colleagues about visitor arrivals and cancellations promptly.
- Keep detailed logs of visitor sign-ins for records.
- Handle processing and distribution of incoming and outgoing mail.
- Organize and maintain appointment schedules and meeting room reservations.
- Ensure the reception area is kept clean and orderly.
- Perform any additional tasks as assigned by management.
- Maintain strict confidentiality of protected health information and immediately report any suspected breaches to the Administrator.
Educational and Experience Requirements
A minimum educational requirement is a high school diploma or GED. Prior experience in administrative or receptionist roles is preferred.
Skills and Abilities
- Strong reading comprehension and ability to interpret varied business materials, technical documents, and regulations.
- Effective written communication skills for composing reports, correspondence, and procedural documents.
- Capability to present information clearly and respond to management and colleagues' inquiries professionally.
- Mathematical skills to understand and apply concepts like fractions, percentages, ratios, and proportions in practical situations.
- Good reasoning ability to resolve practical problems in circumstances with limited standard procedures.
- Aptitude for understanding instructions delivered in multiple formats including written, oral, diagrams, or schedules.
- Basic proficiency with Microsoft Office Suite, general clerical duties, and operation of multiline telephone systems.
Physical and Work Environment
- The position requires occasional lifting or moving of items up to 25 pounds.
- Frequent prolonged use of desktops or laptops is expected.
- Regular activities include sitting, standing, walking, talking, reading, and hearing.
- Daily use of standard office equipment such as copiers, scanners, fax machines, phones, and calculators is routine.
- The noise level is generally low to moderate, and no travel is mandated.
