Overview
The Production Administrative Assistant plays a crucial role by providing key administrative support to the Executive Producer of a syndicated morning talk show, while aiding in the daily operations of the production team.
Key Duties and Responsibilities
- Offer comprehensive administrative assistance to the Executive Producer, including organizing schedules, coordinating activities, and helping with general production tasks.
- Support producers by conducting research for upcoming show segments and guest participation.
- Facilitate communication between production personnel to ensure the smooth preparation and execution of daily shows.
- Create, plan, and publish content on social media channels to promote the show.
- Assist on the studio floor during rehearsals and recordings by coordinating hosts, guests, and producers.
- Welcome guests upon their arrival and guide them to the studio areas as needed.
- Manage dressing room preparations and oversee segment transitions during tapings.
- Monitor studio load-in procedures and quickly report any operational issues.
- Collaborate with security and guest services teams to resolve logistical or access challenges.
- Support rehearsals by assisting hosts and guests to prepare segments.
- Oversee the internship program within production by training, mentoring, and managing interns and assigning them meaningful work.
Qualifications and Requirements
- At least one year of experience in television production.
- Excellent organization and multitasking abilities to handle competing priorities effectively.
- Strong communication and interpersonal skills to engage professionally with guests, hosts, staff, and external partners.
- Ability to work independently and as part of a team in a fast-paced, deadline-driven broadcast setting.
- Flexibility to accommodate rehearsals, tapings, and changing production timelines.
- Proven capacity to build and maintain professional relationships at various organizational levels.
- Basic understanding of production coordination and operations within television or media settings.
- Strong guest relations skills emphasizing professionalism and service.
- Effective problem-solving skills with the ability to adapt promptly during live or taped productions.
- Ability to collaborate with production, security, and guest services teams for seamless studio operations.
Preferred Qualifications
- Previous work experience in television production, studio operations, or related media environments.
Educational Requirements
A bachelor's degree or equivalent practical experience is mandatory.
