Role Overview
We are inviting applications for a Procurement Officer to join our Procurement team. This role involves handling delegated procurement tasks for goods and services, ensuring adherence to school policies, managing supplier engagements, and aiding internal departments with their procurement requirements. Reporting line is to the Senior Manager of Operations and Procurement.
Key Responsibilities
- Support budget planning by collecting historical purchasing data to assist future departmental resource acquisition.
- Oversee operational and capital expenditure budgets to maintain cost efficiency and alignment with approved strategies.
- Work in accordance with principles of good governance and internal controls, maintaining transparent procurement records for audit compliance.
- Facilitate timely procurement processing with budget holders, ensuring all activities meet policy and statutory standards.
- Handle GeBIZ requests and related procurement lifecycle procedures.
- Provide system administration support for procurement operations and clarify related queries.
- Contribute to evaluation procedures by preparing assessment criteria matrices, assisting with candidate shortlisting, and recording evaluation scores to focus assessment on methodologies and proposals.
- Assist with raising purchase requisitions and invoice verifications through the school’s B2P system.
- Manage contract understanding including obligations and deliverables, maintain contract registers, monitor renewals, and support supplier evaluations, escalating issues as necessary.
- Prepare concise quarterly newsletters to communicate procurement updates.
Requirements
- Possess a minimum diploma in any discipline, preferably in purchasing operations, supply chain management, or project management.
- Have 3 to 5 years' experience in procurement or the supply chain sector.
- Demonstrate strong proficiency in Microsoft applications and other school-supported software for efficient task completion.
- Exhibit good knowledge of information technology and cybersecurity awareness.
- Strong organisational, communication, and interpersonal abilities.
