Role Overview
The Procurement, Logistics, & Administrative Officer position, based in Abuja, Nigeria, reports directly to the Country Manager and has a dotted line to the Regional Procurement & Logistics Manager. This full-time role coordinates procurement, logistics, inventory management, and administrative operations ensuring adherence to the Foundation’s and donor regulations, as well as Nigerian laws. The role supports program implementation needs and closely collaborates with the Project Operations Support Team and other EGPAF countries.
Key Responsibilities
- Manage procurement activities ensuring compliance with Foundation and donor policies, including keeping procurement plans updated and vendor evaluations current.
- Prepare and oversee procurement documents like RFQs, RFPs, purchase orders, and contracts, supporting negotiations to ensure value and timely delivery.
- Work with technical teams to review product specifications and service scopes for clarity and completeness.
- Perform bid evaluations, organize procurement committees, and maintain accurate procurement documentation uploaded to SharePoint for payment processing.
- Maintain audit-ready procurement files compliant with policy and national laws; act as the liaison during audits for procurement, logistics, and administration.
- Oversee logistics and inventory systems, ensuring proper tagging, tracking, asset assignment, and fleet management including vehicle maintenance and disposal operations.
- Supervise drivers, maintain vehicle logs, and manage inventory control including distribution and storage of commodities.
- Coordinate administrative logistics for meetings, training events, staff travels including bookings and venue arrangements.
- Lead and mentor office assistants and maintain updated contact databases of key partners and stakeholders.
- Provide ongoing training to staff on compliance within procurement, logistics, and administration to promote transparency and excellence.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree or equivalent in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field.
- At least four years experience in operations, procurement, logistics, and administration, preferably in NGOs or donor-supported projects.
- Comprehensive understanding of donor regulations and Nigerian procurement practices.
- Strong integrity, commitment to transparency, solution-oriented mindset, solid decision-making capabilities, and teamwork skills.
- Proficiency with Microsoft Office applications including Word, Excel, and PowerPoint.
- Excellent communication abilities and interpersonal skills alongside vendor management experience.
- Well-developed organizational, problem-solving, and negotiation skills.
Additional Advantages
- Professional certification in Procurement or Supply Chain such as CIPS.
- Experience managing procurement, inventory, and fleet systems.
