Personal Assistant

About the role

This position is for an exceptionally organized and dependable Personal Assistant to support a Dubai-based entrepreneur couple with a mix of business, personal, and household coordination. The role is very hands-on and suits someone who works in a structured way, notices what needs to be done in advance, and can be trusted with confidential matters and financial handling.

Travel coordination

• Look into flight options, make bookings, and manage itinerary changes, upgrades, and related travel details.
• Arrange hotel accommodation, airport or local transfers, and other ground logistics.
• Prepare visa application paperwork, complete required forms, and monitor timelines for submission and progress.

Business and office support

• Handle the founders’ calendars, organize meetings, resolve clashes, and safeguard focus time.
• Join meetings when needed, record accurate notes, and follow through on action items until they are completed.
• Review incoming emails, prioritize what matters most, and draft or send responses on behalf of the founder when necessary.
• Keep digital files well ordered for business licenses, permits, and renewal dates so that nothing is missed.

Personal support

• Arrange personal appointments such as medical, beauty, fitness, and other routine bookings.
• Maintain tidy digital records for personal documents including passports, IDs, insurance papers, and contracts.
• Pay recurring bills on schedule and maintain clear payment records.
• Support event planning by coordinating vendors, arranging deliveries, and handling payments.
• Manage guest lists and RSVPs for family and personal events.
• Book restaurants and other reservations as needed.
• Source, buy, and organize delivery of gifts for both personal and professional occasions.

Home and family coordination

• Work with household staff and communicate schedules, priorities, and tasks clearly.
• Handle grocery ordering and make sure the home remains fully stocked.
• Order household supplies and baby items whenever required.
• Plan and supervise household maintenance such as AC servicing, repairs, deep cleaning, and pest control.
• Arrange baby and family appointments, including pediatric visits, vaccinations, and classes.
• Process household staff salaries and track household spending with accurate records.

Working arrangement and compensation

This is a full-time position based in Dubai. Standard working hours are 9:00 AM to 6:00 PM, Monday through Friday, though availability outside these hours is expected. Saturdays are needed only occasionally for meetings or events, and Sundays are contacted only in emergencies. The role can be performed from the office or from home, and some travel may be involved. The offered salary is AED 6,000 to AED 8,000 depending on experience.
