Role Overview
As a People Operations Specialist, you will play a critical role in ensuring a smooth and employee-focused execution of fundamental People Operations procedures throughout the employee lifecycle. Your responsibilities will include managing employee transactions, maintaining accurate data, facilitating benefits and leave processes, addressing employee queries, and assisting in process documentation and continuous enhancement within a global People Operations framework.
Key Responsibilities
- Manage parts of the onboarding process by tracking new hires, communicating with employees, ensuring necessary paperwork is completed, facilitating orientation sessions, and escalating any delays promptly.
- Handle employee benefits-related tasks within Workday, including enrolling new employees and processing life event changes, collecting any required supporting documentation.
- Assist with annual benefits enrollment campaigns, ensuring clear communication with employees and collaborating effectively with the Benefits team to resolve issues.
- Coordinate routine accommodation requests, ensuring that documentation is complete, processes are properly routed, and confidentiality is maintained throughout.
- Keep employee records current and organized, update employee data accurately, and maintain documentation that is ready for audits.
- Provide basic reporting support and assist with scheduled People Operations reports, ensuring data accuracy and confidentiality.
- Interpret routine policies and processes, escalating complex or high-risk issues to People Partners, Legal, Benefits, or specialized experts when necessary.
- Collaborate with both internal stakeholders and external Employer of Record (EOR) partners to support the employee lifecycle for EOR employees.
- Act as the initial contact for standard employee inquiries by utilizing approved resources, knowledge bases, and documented procedures.
- Manage employee service requests submitted through Freshservice, ensuring timely responses, detailed case notes, appropriate routing, and a consistent experience for employees.
- Maintain and enhance process documentation, job aids, and knowledge base materials to facilitate scalable People Operations delivery.
- Identify opportunities to automate and improve workflows, reduce manual tasks, and increase consistency using system enhancements, automation, documentation, and AI tools.
- Analyze trends in employee inquiries and recommend improvements in documentation, training, processes, and self-service materials.
- Contribute to People Operations projects and cross-functional initiatives as needed.
Qualifications and Experience
- Between 2 and 4 years of experience in Human Resources.
- Bachelor’s degree in human resources or a related field; professional certifications such as PHR or SHRM are preferred.
- Experience supporting various employee lifecycle processes including onboarding, offboarding, employee data management, benefits administration, leaves, and accommodations.
- Familiarity with HRIS and People systems like Workday and Freshservice.
- A strong focus on process improvement, with enthusiasm for enhancing existing workflows through technology and thoughtful design.
- Proven experience in maintaining documentation, knowledge bases, process guides, and operational procedures.
- Comfortably utilize AI-driven tools, knowledge management systems, and self-service resources to boost productivity and support quality.
- Ability to multitask effectively in a fast-paced setting while ensuring high attention to detail.
- Possess a customer-service oriented approach aimed at delivering an excellent employee experience throughout the employment journey.
- Good understanding of HR compliance, employment laws, benefits administration, leave management, and employee lifecycle operations.
- Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
Compensation and Benefits
The expected base salary for this role ranges from $56,250 to $82,500 annually, depending on factors such as location and experience. This is just one component of the complete compensation package, which may also include performance bonuses, commissions, and stock options approved by the company’s board.
