Overview
The Payroll Clerk, reporting to the Payroll Supervisor within the Payroll Department, operates with minimal supervision to manage payments including TTOC/TUC pay, maternity and compassionate leave top-ups, and summer school payments. This role also supports payroll processing for CUPE and teaching staff while collaborating effectively with colleagues and the public.
Key Responsibilities
- Verify and extend timesheets and related documents for accuracy and proper authorization.
- Cross-check timesheets and adjustments against payroll edits to ensure correctness.
- Assist fellow payroll personnel and contribute to project tasks as necessary.
- Enter and retrieve payroll-related data such as new employee information, status updates, and hours worked using computer systems.
- Stay current with employee contracts and collective agreements to ensure compliance.
- Maintain and adjust records for sick leave, salary increments, absences, income tax, and Workers' Compensation Board details.
- Respond to inquiries and coordinate communication via phone, mail, fax, computer, or in person with staff, external agencies, and the public.
- Organize and file various materials including timesheets, payroll reports, and memos.
- Prepare, duplicate, sort, collate, and staple documents as required.
- Manage lifting and movement of office and paper supplies within print rooms and general work areas.
- Perform other clerical or urgent tasks as directed.
- Plan and coordinate workload effectively.
- Cancel and reissue paychecks through the payroll system as needed.
- Generate departmental reports.
- Coordinate closely with school secretaries and Human Resources personnel regarding payroll changes and documentation completion.
- Validate general ledger account numbers related to timesheets.
- Extract, print, and distribute timesheets, pay statements, and employment records ensuring accurate calculations of pay and deductions.
- Calculate pay, produce payroll registers, and finalize payroll processing.
Qualifications and Skills
- High school diploma or equivalent required.
- Completion of four courses equivalent to the Payroll Compliance Program (PCP).
- At least two years of experience in a large automated payroll setting within the last four years.
- Intermediate proficiency in Microsoft Word and Excel.
- Working knowledge of database and computer applications.
- Keyboarding speed of at least 50 words per minute or proof of equivalent skill.
- Proficient numeric keypad abilities.
- Familiarity with payroll systems related to union contracts, statutory regulations, Revenue Canada policies, and Workers' Compensation Board rules.
- Good command of business English, punctuation, spelling, and business mathematics.
- Knowledge of standard office procedures and practices.
- Ability to engage with courtesy and tact when interacting with the public, parents, staff, and students.
- Capable of working independently and collaboratively within a team environment.
- Strong verbal and written communication skills.
- Ability to effectively plan, schedule, and organize workload.
- Comfortable working amid frequent interruptions.
- Detail-oriented with the ability to maintain focus over extended periods and meet strict deadlines.
Tools and Physical Requirements
- Proficient in using office equipment such as computers, photocopiers, telephones, fax machines, typewriters, answering machines, calculators, and printers.
- Visual capability sufficient for computer use.
- Manual dexterity to handle office equipment and supplies.
