Role overview

Nexera Design Group is looking for a proactive and technically strong Operations Systems Administrator to oversee and support the internal software environment that keeps daily work running for a distributed team of 100+ people worldwide. In this role, you will be the main administrator for internal systems, help employees with access and usage issues, improve operational workflows, and ensure teams can rely on the tools they need to work effectively.

You will collaborate closely with Operations, Finance, HR, and leadership to make sure employees are properly onboarded, trained, supported, and equipped with the right access and systems.

Key responsibilities

  • Administer Microsoft Office 365, HRMS, time-tracking tools, project management platforms, communication systems, and other operational applications used across the company.
  • Handle user accounts, permissions, licensing, security configuration, and access management across internal systems.
  • Set up and maintain teams, departments, projects, workflows, and other organizational structures in business tools.
  • Provide support to a workforce of more than 100 employees across different departments and regions.
  • Serve as the central contact for employees needing help with company systems, software, and internal operational tools.
  • Investigate issues raised by users, troubleshoot technical problems, and work with vendors or internal teams to resolve them.
  • Set up new hires by creating accounts, assigning access, configuring permissions, and confirming that systems are ready to use.
  • Create and keep updated onboarding guides, SOPs, user manuals, training content, and internal knowledge-base documentation.
  • Conduct training sessions and system walkthroughs for both new joiners and existing staff.
  • Track software usage, system health, and user adoption to support smooth operations.
  • Administer time-tracking, attendance, public holiday settings, leave configurations, and related workforce systems.

  • Look for opportunities to automate tasks, streamline workflows, and improve internal processes.
  • Coordinate with software vendors and third-party providers for support, upgrades, and issue resolution.
  • Maintain software inventories, license records, and system documentation.
  • Assist in evaluating, testing, implementing, and rolling out new business applications and operational technologies.

Requirements

  • At least 2 years of experience in systems administration, operations support, business systems, IT coordination, or a related function.
  • Hands-on experience managing multiple SaaS platforms and business applications.
  • Solid knowledge of Microsoft Office 365 administration and user management.
  • Prior experience with HRMS, workforce management, project management, or similar operational software.
  • Strong diagnostic and problem-solving abilities.
