The office administrator role is based at the depot in Culham within Biffa's household waste division, which services 31 local authorities with over 3,300 employees and 1,562 specialized vehicles, conducting 4.3 million collections weekly from 2.3 million households.
Role Overview
This position involves managing daily administrative tasks at the depot under a fixed-term contract lasting six months.
Key Responsibilities
- Address daily administrative queries via telephone and email on behalf of the depot.
- Manage and monitor PPE records, ensuring stock ordering aligns with approved procedures.
- Disseminate exemption lists, repeated misses, street schedules, and variations to the relevant teams; escalate unresolved repeats to the Contract Supervisor.
- Input daily vehicle waste weight ticket data into the company database.
- Timely update of rectification notices from client performance mechanisms to prevent penalties.
- Communicate with crews regarding daily operational issues, escalating to management when necessary.
- Compile reports and complete management requests to maintain depot efficiency.
- Handle payroll-related documentation, including overtime, attendance, and sickness certificates, ensuring prompt submission.
- Maintain the holiday planner board, ensuring it remains current.
- Update employee details and forward required forms to Head Office following organizational protocols.
- Manage recruitment documentation, ensuring timely forwarding to Head Office.
- Control and verify agency staff timesheets before submission to the Operations Manager.
- Maintain adequate depot stock levels and issue purchase orders as required.
- Oversee petty cash management for the depot.
Candidate Requirements
- Ability to operate effectively in a commercially focused and time-sensitive environment.
- Good knowledge of the local area.
- Proven experience working toward and meeting service delivery KPIs.
- Effective communication skills, precise planning, and ability to collaborate well with others.
- Proficient use of business software and Microsoft Office Suite.
- Minimum GCSE-equivalent in English and Maths; higher qualifications such as A-Levels or degrees are advantageous.
