About the Role
Klaviyo embraces diverse backgrounds and experiences, recognizing the value each individual brings beyond conventional qualifications. We invite candidates whose experiences may not perfectly align but who are eager to grow and contribute. Our workplace ethos champions ownership, transparency, and continuous progress. We treat workplaces as dynamic experiences to design rather than mere spaces to manage.
We are searching for a Manager of Workplace Experience based in Dublin to lead the international Workplace Experience operations spanning offices in Dublin, London, Paris, Munich, Sydney, and Singapore. This role will be pivotal in scaling operations and strategies across EMEA and APAC regions, overseeing a geographically dispersed team handling office operations, employee engagement programs, and expansion efforts.
Key Responsibilities
- Lead and develop a distributed team managing Workplace Experience across multiple international locations.
- Manage operations ensuring consistency, scalability, and compliance with local regulations across diverse markets and vendors.
- Collaborate with leadership and cross-functional partners to refine and execute global workplace strategies.
- Act as the on-site lead for Dublin headquarters buildout, including workspace planning, employee onboarding readiness, and change management.
- Support expansion by evaluating new office sites, implementing operational processes, managing vendor relations, and launching new offices that align with company culture.
- Analyze employee feedback and workspace usage data to influence office investments, design, and programming.
- Drive continuous improvement through operational gap identification and solutions deployment.
- Coordinate in-office cultural events and programs in partnership with employee experience and communications teams.
- Oversee vendor relationships including contract management and performance evaluation.
- Utilize workplace management software (e.g., OfficeSpace) to guide space utilization and future growth strategies.
- Lead technology enhancements related to conference resources, desk booking, signage, visitor management, and general operations alongside IT.
- Develop workplace policies ensuring uniformity, scalability, and local compliance across regional offices.
- Facilitate consistent new hire experiences internationally in coordination with onboarding teams.
- Set operational standards guaranteeing that all company offices maintain brand quality and employee experience expectations.
- Manage day-to-day office services including supplies, food and beverage, and amenities focusing on efficiency and quality.
- Deliver complex workplace projects such as office launches, relocations, and operational upgrades across regions and time zones.
- Create welcoming visitor and employee experiences reflective of company culture in all locations.
- Contribute to defining the evolving Workplace Experience function supporting the company's global scale.
Candidate Profile
- 7 to 10+ years in workplace experience, office operations, hospitality, or facilities management with leadership experience in growing environments.
- Proven ability to lead high-performing teams through clear guidance, coaching, and partnership.
- Strong strategic and tactical thinking with a systems approach to improving operational models and managing daily execution.
- Deep operational knowledge of workplace management, vendor relations, office setups, technology, employee programming, and international office oversight.
- Experienced managing multi-office and cross-country operations with sensitivity to balancing global standards and local market needs.
- Exceptional communication skills fostering trust and effective collaboration among leadership, vendors, and teams.
- Strong project management skills capable of prioritizing and executing initiatives across multiple stakeholders and worldwide time zones.
- Proficient with GSuite and Slack; familiarity with workplace management platforms like OfficeSpace or Freshworks preferred.
- Self-directed and adaptable in a fast-paced, evolving workplace environment.
- Hospitality-oriented leadership style, personable and polished.
- Willingness to work primarily onsite in Dublin with flexibility for international coordination.
- Physical ability to lift 20+ lbs.
