Job description
Role Overview and Responsibilities
The Manager in Procurement Administration will lead and manage various improvement initiatives primarily related to procurement but extending across end-to-end processes involving multiple stakeholders. This role involves close collaboration with different teams and the Office of Improvement to identify process enhancement opportunities and implement solutions.
- Act as business owner and project manager for initiatives aimed at process improvement beyond just procurement.
- Engage with stakeholders and the Office of Improvement for brainstorming and execution of optimization opportunities.
- Develop, implement, and serve as the main liaison for the Student Hiring System vendor.
- Create and maintain Standard Operating Procedures (SOPs) related to on-campus hiring and payment processes.
- Produce system guides and Frequently Asked Questions (FAQs) to aid users.
- Facilitate system onboarding and ensure smooth ongoing operation.
- Handle daily system administration, including updates and maintenance.
- Manage account setups and assign administrative and approval privileges.
- Collaborate with departments and IT to design and integrate new workflows, including approval systems.
- Deliver training and consultation sessions to familiarize users with the system.
- Respond promptly to user queries concerning the system.
- Provide technology and web support and escalate system issues to IT or vendors for quick resolution.
- Gather and analyze requirements for adjustments to the system to comply with Work on Campus (WOC) scheme guidelines.
- Assist in administering the SMU WOC Scheme and update relevant scheme changes on the WOC portal.
- Extract and compile reports on university-wide on-campus work activities for management review.
- Perform additional duties as assigned by leadership.
Required Qualifications and Skills
- A bachelor's degree with a minimum of seven years’ relevant experience.
- Possession of Six Sigma Green Belt certification is advantageous.
- Experience in designing and managing databases, reports, and dashboards.
- Familiarity with enterprise systems is preferred.
- Proven ability to work collaboratively with multiple stakeholders.
- Capability to lead projects independently while also functioning effectively within a team.
- Strong organizational aptitude and effective time management.
- High attention to detail and accuracy.
- Excellent communication skills for diverse audiences.
- Good analytical and problem-solving skills.
