Role Overview

This key position supports core HR programs across a diverse retail and e-commerce workforce spanning multiple states. Responsibilities encompass administration of leave and ADA claims, payroll tasks, training initiatives, HR communications, documentation, and managing cross-functional projects within HR. Reporting to the HR Director, the successful candidate will be the primary contact for HR inquiries and will ensure operational excellence with accuracy, consistency, and confidentiality.

Key Responsibilities

  • Act as the main system administrator for various leave programs including LOA, STD, FMLA, and state-specific leaves such as New York PFL, collaborating closely with warehouse HR teams for leave management.
  • Manage the ADA interactive process, accommodation documentation, and advise management on accommodations and return-to-work plans.
  • Administer weekly and bi-weekly payroll processing accurately, including wage garnishments and support orders, adhering to legal compliance.
  • Handle special pay requests such as holiday pay, bereavement, and jury duty compensations.
  • Develop, administer, and track completion of company training programs, especially those related to compliance.
  • Compose and circulate company-wide HR communications including celebrations of employee milestones like birthdays and anniversaries.
  • Create and maintain polished internal HR materials, including one-pagers, manuals, standard operating procedures, and presentations covering benefits, policies, and various HR programs.
  • Coordinate HR project plans, timelines, meetings, and follow-ups, ensuring all deliverables are met on schedule.
  • Process HR purchase orders in collaboration with the accounting department.
  • Serve as the initial point of contact for HR-related queries and requests, including employment verification.

Preferred Qualifications

  • Between 5 and 7 years of advancing experience in human resources roles.
  • Comprehensive knowledge of federal, state, and local employment laws such as FMLA, ADA, state leave policies (e.g., PFML/PFL), and wage-hour regulations.
  • Familiarity with HRIS and payroll platforms; experience with ADP Workforce Now is advantageous.
  • Advanced expertise in Excel and Microsoft Office, including pivot tables, data validation, spreadsheet linking, Power Automate workflows, and mail merge functionalities.
  • Strong skills in instructional design and document development, capable of producing high-quality training materials, SOPs, and presentations.
  • Excellent communication abilities, both written and verbal.
  • High confidentiality standards and judicious decision-making when handling sensitive employee information.
  • Robust organizational and project management competencies, adept at multitasking and meeting tight deadlines.

Work Schedule and Conditions

The position requires a minimum of three days per week onsite in New York City to foster collaboration, enhance communication, and facilitate effective teamwork. A typical forty-hour workweek is expected.
