Job Overview
The Front Office Assistant at The Address Collective plays a key role in welcoming guests and managing room allocations in line with established procedures. This position requires professionalism, attention to detail, and consistent adherence to company policies to ensure an outstanding guest experience.
Primary Responsibilities
- Arrive punctually for scheduled shifts, wearing a clean, full uniform and maintaining high personal grooming standards.
- Maintain impeccable personal hygiene and workplace cleanliness.
- Comply fully with the company Code of Conduct and relevant health, safety, hygiene, customer care, and security regulations.
- Understand and perform duties as outlined in the Health and Safety Statement and Staff Handbook.
- Verify the accuracy of all reception cash floats and adhere to cash handling procedures.
- Keep workspaces orderly, safe, and tidy at all times.
- Welcoming and registering guests upon arrival using proper procedures and brand standards.
- Ensure all guest registration and check-out documentation meets procedural requirements.
- Stay informed about company promotions and selling procedures to effectively promote services.
- Maintain up-to-date knowledge of room availability and pricing.
- Offer and accommodate additional guest needs such as dinner reservations, porter services, and information assistance wherever possible.
- Accurately post all charges to room bills and monitor management accounts diligently.
- Communicate clearly and professionally with both guests and colleagues, providing high levels of customer service consistently.
- Manage reservations, cancellations, and no-shows according to company policies.
- Handle switchboard functions efficiently by answering calls warmly and directing them appropriately when the operator is absent.
- Conduct regular security inspections and report issues promptly to management.
- Report maintenance concerns immediately to ensure ongoing operational standards.
- Record and distribute messages accurately, ensuring timely delivery to recipients.
- Respond politely and attentively to guest requests and queries, escalating issues to the Duty Manager as needed.
- Balance cash from various outlets such as telephone, lounge, restaurant, bars, and reception at shift end.
- Allocate rooms thoughtfully based on guest requests and criteria.
- Monitor telephone charges from meeting rooms, ensuring correct posting to guest folios.
- Manage guest safe deposits securely.
- Maximize in-house sales opportunities by maintaining awareness of all offerings.
- Handle Foreign Exchange transactions for customers responsibly.
- Participate in all required training sessions and team meetings, implementing their guidance.
- Complete daily duties following the designated checklist.
- Perform any other reasonable tasks assigned by management or senior staff.
Required Skills and Qualifications
- Fluent English communication skills.
- Proficiency in Microsoft Outlook and general computer literacy.
- Experience or background in hospitality services.
