Job description
Overview
This role is responsible for supporting various operational facets to ensure the department functions efficiently. It demands a combination of administrative, operational, and customer service abilities.
Key Duties
- Administer diet control and manage patient meal arrangements.
- Handle telephone communications and inquiries, record messages, follow up appropriately with other departments, and manage feedback.
- Collect and update meal-related data required by the kitchen for production summaries.
- Use the electronic meal ordering system to generate daily meal summaries and distribute these to kitchen units for preparation, cooking, plating, and assembly.
- Produce meal chits for patients from the electronic system and deliver them to the kitchen team for meal assembly.
- Maintain daily logs of events and complaints, including follow-up actions taken.
- Assist kitchen staff during meal assembly and plating to ensure accurate meal loading.
- Monitor and track key operational performance indicators regularly.
- Consolidate operational reports and notify the Reporting Officer of any inconsistencies.
- Coordinate with Dietitians, Speech Therapists, and Nursing departments regarding specific meal requirements.
- Manage requisitions, control, and efficient usage of office supplies within the department.
- Oversee ordering, receipt, issuance, and inventory counting of assigned items.
- Ensure stock is stored properly per set guidelines.
- Keep the inventory management system up to date.
- Organise and deliver supplies from stores to relevant departments as needed.
- Draft and record minutes during meetings.
- Perform additional duties assigned by the Reporting Officer.
Qualifications and Skills
- Preferably hold a Diploma in Food Science, Food Nutrition, or a similar qualification.
- At least two years of relevant work experience is favored.
- Excellent communication, interpersonal, and phone etiquette skills.
- Strong proficiency in Microsoft Office applications: Word, Excel, and PowerPoint.
- Strong work ethic, self-starter attitude, and the ability to perform well in a busy, dynamic setting.
- Capable of working autonomously or collaboratively within a team.
- Fluent in spoken and written English.
- Physically able to perform manual handling, including carrying heavy items.
Working Schedule
The position requires a five-day workweek including shifts on weekends and public holidays. Shift timings are as follows:
- Shift 1: 5:15 AM to 2:15 PM
- Shift 2: 8:00 AM to 5:00 PM
- Shift 3: 10:15 AM to 7:15 PM
- Shift 4: 5:30 AM to 4:30 PM
Weekly shift pattern typically includes:
- Four days on Shift 1 or Shift 3 (Shift 2 depends on operations)
- One day on Shift 4
