Role Overview
The Executive Office Manager acts as the primary aide to the Group CEO, ensuring the seamless functioning of the CEO Office. This critical position is responsible for managing executive priorities, facilitating coordination among the Executive Leadership Team, and guaranteeing effective communication and follow-up on core business projects.
Key Duties
- Oversee daily operations of the Group CEO Office to provide smooth administrative and operational support.
- Serve as the main liaison for all matters related to the CEO Office, maintaining alignment of the CEO's schedule with strategic business goals.
- Coordinate preparation and organization of executive meetings, business evaluations, and important strategic sessions.
- Collaborate closely with Group Chiefs, Directors, and senior leadership to track and ensure completion of critical action items.
- Foster communication between the CEO Office and various business divisions.
- Manage interactions with senior internal and external stakeholders such as Board members, government bodies, and strategic partners, maintaining confidentiality and professionalism.
- Plan and organize executive calendars, leadership gatherings, corporate events, and executive visits accurately and efficiently.
- Prepare high-quality briefing documents, presentations, and reports; keep detailed records of executive decisions and following actions.
- Support governance functions by monitoring progress on meeting outcomes and taking care of office administration, including document and confidential file management.
- Lead, mentor, and manage the Administrative Assistant supporting the CEO Office, ensuring excellence in service delivery.
- Help drive continuous improvements to office processes enhancing operational efficiency.
- Assist in coordinating and tracking strategic initiatives sponsored by the Group CEO, escalating issues requiring executive attention.
Qualifications and Experience
- Bachelor's degree in Business Administration, Management, Communications, or a related field.
- Professional certifications in Executive Administration or Project Management are beneficial.
- At least 10 years of relevant professional experience, including significant tenure supporting C-suite executives, particularly CEOs or equivalent leaders in complex organizations.
- Proven track record working with executive leadership teams and handling cross-department initiatives and governance tasks.
- Previous experience managing a team is preferred.

Working Relationships
- Internal collaboration with the Group CEO, Group Chief Officers, Executive Leadership Team, Directors, Executive Assistants, and Corporate Functions.
- Engagement with external stakeholders such as government authorities, board members, strategic partners, consultants, vendors, and external visitors.
