Role Overview
The Executive Assistant to the CEO is a pivotal, trusted partner providing strategic and administrative support to the Chief Executive Officer and occasionally other members of the Executive Leadership Team. This role is essential in enabling the CEO to focus on key priorities by managing an intricate calendar, coordinating communication streams, supporting vital engagements, and facilitating connections across the organization. This position is hybrid, based in the DC metropolitan area, requiring approximately two days per week onsite with some schedule flexibility around board and CEO meetings.
Key Responsibilities
- Efficiently manage the CEO's complex calendar ensuring alignment with organizational priorities and well-structured scheduling.
- Act as a gatekeeper by filtering incoming requests and preparing the CEO for meetings through briefing materials, agendas, and talking points.
- Organize domestic travel logistics and oversee precise expense reporting.
- Provide administrative assistance for significant events including board meetings, donor engagements, and strategic partnership activities.
- Track and follow up on action items from both internal and external stakeholders to align with organizational goals.
- Lead full coordination of Board of Directors and Executive Committee meetings, encompassing agenda creation, communication, and logistical support.
- Facilitate communication across departments to keep the CEO updated on critical developments.
- Create and manage professional communications on the CEO's behalf.
- Support team and leadership meetings through logistical arrangements, documentation, and action item follow-up.
- Oversee light office operations such as maintaining supply inventory and placing orders to ensure office efficiency.
- Uphold the highest levels of confidentiality regarding personnel, strategic, and financial matters.
- Represent the Executive Office with discretion and professionalism while fostering positive relationships internally and externally.
Candidate Qualifications
- At least five years of experience supporting a CEO or equivalent C-level executive; experience in legislative or congressional office support is highly valued.
- Exceptional skills in time management, organization, and priority setting.
- Strong written and verbal communication capabilities.
- Detail-oriented with an ability to juggle multiple priorities and work independently.
- High emotional intelligence combined with discretion and sound judgment.
- Technologically proficient, including familiarity with calendar and project management tools; Microsoft suite and Asana experience preferred.
Additional Preferred Qualifications
- Experience related to legislative environments such as Capitol Hill or government affairs, including familiarity with legislative procedures and executive coordination.
- Successful experience working in remote-first or hybrid work environments.
- Knowledge of nonprofit board operations, development, or fundraising functions.
- Ability to navigate fast-paced, evolving work contexts with complex coordination needs.
- Passion for contributing meaningfully to a mission focused on combating the addiction crisis by supporting executive leadership effectiveness.
