About The Role
The Executive Assistant acts as the main operational collaborator for several executives within a rapidly growing technology company. This position manages daily administrative tasks, enhances complex scheduling processes, and serves as a vital communication bridge among the leadership, internal departments, and external stakeholders.
Working remotely, the individual must demonstrate strong independence, proactive problem-solving skills, and be highly adept with contemporary coordination tools. Anticipating and resolving logistical challenges ahead of time is essential to maintain smooth executive workflows across multiple time zones.
Key Responsibilities
- Oversee and organize complex, high-traffic calendars via Google Workspace, accommodating multiple global time zones and preemptively addressing scheduling conflicts.
- Handle comprehensive planning of domestic and international travel, covering flights, accommodations, visas, local transport, and detailed itinerary management.
- Compose, edit, and format confidential documents, presentations, and reports utilizing Slack, Notion, and Microsoft Office applications.
- Prepare meeting agendas, document detailed minutes during leadership meetings, monitor action items, and ensure timely completion by responsible parties.
- Manage monthly corporate expense reconciliations and vendor invoicing through platforms like Expensify or Ramp.
- Organize and facilitate virtual and in-person events such as team offsites, board meetings, and company-wide gatherings, managing vendor agreements and budget oversight.
Qualifications and Skills
- A minimum of four years’ experience as an Executive Assistant, Administrative Partner, or Project Coordinator supporting high-level executives such as VPs or C-suite leaders.
- Expertise with collaboration and productivity software including Google Workspace, Slack, Notion, and Zoom.
- Demonstrated ability to maintain confidentiality with sensitive and proprietary information, exercising professional discretion and judgment.
- Capacity to effectively prioritize multiple urgent demands and adapt swiftly within a dynamic, rapidly expanding technology environment.
- Bachelor’s degree or commensurate administrative experience.
- Preferred: Experience in remote-first tech startups and familiarity with project management software like Asana, Jira, or Monday.com.
