Job description

Overview

This part-time Executive Assistant position at UK Private Capital is ideal for an individual with over five years of experience supporting one or two Executive Committee members. The role offers flexibility with work spread over four days, including two days onsite at the London office. The successful candidate will be a proactive, highly organized team player dedicated to facilitating the efficient work life of two busy Directors.

Primary Duties

  • Provide comprehensive organizational, administrative, and secretarial support to the Managing Director and Director of Industry Development.
  • Manage day-to-day activities including diaries, inboxes, travel arrangements, project support, and other logistical needs.
  • Coordinate preparation and follow-up for multiple stakeholder meetings, including note-taking and action tracking.
  • Optimize use of Directors' time by anticipating needs and collaborating effectively with other teams.
  • Oversee schedules, anticipate conflicts, and plan meetings ranging from immediate needs to year-ahead events.
  • Manage logistics for quarterly Industry Development strategy events and social activities.
  • Support agenda preparation, minute-taking, and action tracking for weekly and monthly meetings, including Commercial meetings.
  • Assist with special initiatives involving senior industry and external stakeholders, such as annual renewals and departmental off-site events.
  • Ensure prompt submission of expenses and CRM updates following member meetings.

  • Experience using Microsoft Dynamics or similar CRM systems to maintain accurate records.
  • Familiarity with AI tools to enhance work efficiency.
  • Proficient in minute taking and formal meeting documentation.
  • Excellent record keeping, filing, diary management, and mail handling skills.
