Overview
Join a dynamic team within a fast-moving organization where every day brings new challenges and opportunities for professional development. This role as Executive Assistant is essential in supporting the payments and banking group, requiring strong teamwork, professionalism, and precision. The position involves active engagement with senior-level internal clients across various business lines and adapting procedures to align with department objectives.
Key Responsibilities
- Maintain intricate and comprehensive calendars efficiently.
- Screen and prioritize inbound calls, exercising discretion with sensitive information.
- Coordinate logistics and scheduling for internal and external meetings.
- Organize complex domestic and international travel plans.
- Manage event arrangements including catering and transport for internal and external functions.
- Process invoices and travel & expense claims adhering strictly to company policies and guidelines.
- Support employee on-boarding and off-boarding by facilitating equipment and system access arrangements.
- Compose polished communications directed to individuals at all organizational levels.
- Maintain department documents such as organizational charts and executive biographies.
- Proactively handle routine activities without supervision and communicate any issues or delays promptly.
- Assist with editing spreadsheets and presentations, including printing and binding for client engagements.
Required Qualifications and Skills
- Minimum of three years in an administrative support capacity.
- Exceptional organizational skills.
- Demonstrated discretion and sound judgment, especially in confidential situations involving senior management.
- Excellent interpersonal, verbal, and written communication capabilities.
- Advanced proficiency in Microsoft Office applications.
- Professional telephone etiquette with the ability to handle competing priorities effectively, including managing complex calendars.
Preferred Qualifications
- Experience supporting senior management or higher levels.
- Higher education degree considered an advantage.
