Role overview
This position is designed to provide comprehensive executive and administrative assistance to the department head. The role ensures day-to-day office coordination runs smoothly, enabling the manager to stay focused on core business priorities.
Core support duties
- Handle diary coordination, travel arrangements, phone communication, document handling, status updates, and record keeping.
- Serve as the primary coordination point for both internal and external communication within the department.
- Support company processes by managing records and processing requisitions in line with SAP account allocation requirements.
Secretarial and correspondence support
- Deliver end-to-end secretarial and administrative assistance to the departmental head.
- Manage incoming and outgoing correspondence, including drafting responses where needed and routing messages appropriately.
Calendar and communication management
- Organize the line manager’s schedule so key meetings are attended on time with all required documents prepared in advance.
- Answer and screen incoming calls, assess the situation, and take suitable follow-up action.
- Make routine calls on behalf of the department to check progress and follow up on pending actions.
Records and office administration
- Create and maintain organized filing and record systems to support efficient office operations.
- Ensure office equipment and administrative processes are handled effectively so the department can work without disruption.
- Review requisitions received from different departments for office services and supplies, and confirm that the necessary approvals are in place as per SAP account allocation and line manager authorization.
- Coordinate with suppliers for clarifications, report updates to the manager, and verify received invoices.
Requirements
Candidates should hold a bachelor’s degree in Administration or Business Management and bring at least 5 years of experience in a comparable role within a medium to large organization.
