Covista operates on a hybrid schedule requiring four days physically in-office weekly (Monday to Thursday) to promote creativity, communication, collaboration, and relationship-building.
Role Overview
This Executive Assistant role is designed for a highly organized and proactive professional who excels in fast-moving settings and serving as a pivotal partner to executive leaders. Supporting two Vice Presidents, the role involves managing complex scheduling, coordinating travel, anticipating needs, safeguarding confidential matters, and handling shifting priorities with professionalism and poise.
The ideal candidate will act as a trusted partner, demonstrating initiative, problem-solving skills, and continuously seeking ways to enhance the executives' daily productivity. This position also offers the chance to join a strong network of approximately 150 Executive Assistants within Covista who collaborate by sharing resources and best practices. The role provides significant exposure to senior leadership and the opportunity to contribute visibly within a dynamic and respected environment.
Responsibilities
- Proactively anticipate and manage executives' priorities including meetings, agendas, travel plans, events, correspondence, and operational matters.
- Maintain and coordinate calendars and contact lists; arrange travel logistics such as flights, car services, rental cars, and accommodations; manage office supplies and equipment; prepare expense reports; organize facility reservations and catering.
- Serve as intermediary between executives and internal teams, clients, and external contacts, exercising discretion on when to act independently or escalate.
- Handle complex scheduling conflicts and sensitive administrative issues involving confidential materials regularly.
- Maintain precise recordkeeping and filing systems for both electronic and physical documents, ensuring timely and proper file management.
- Assist with budget preparation and monitor expenses.
- Coordinate large-scale meetings potentially spanning multiple departments.
- Support special projects and events across various departments as needed.
- Provide requested documentation and information to the CEO and their office.
- Perform light daily housekeeping duties within the executives' office spaces.
- Adhere to organizational policies and standards, completing additional duties as assigned.
Qualifications
- Bachelor’s Degree required or equivalent combination of education and experience.
- Minimum of eight years’ experience as an executive assistant supporting senior leaders.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and other Microsoft applications; skilled in meeting note-taking.
- Strong organizational capabilities and excellent oral and written communication skills.
- Ability to multitask effectively, work autonomously, and collaborate within a team.
- Maintain demeanor and composure under pressure.
- High attention to detail with sound judgment and discretion, particularly in handling confidential information.
Compensation and Benefits
The expected salary range for this position is $20.51 to $37.18 per hour, adjusted based on pertinent factors such as experience, training, location, certifications, market dynamics, budget, and job responsibilities. Covista provides a comprehensive benefits package including health, dental, vision, life, and disability insurance, a 401(k) retirement plan with 6% employer match, 15 paid vacation days per year, 12 paid holidays plus two floating holidays.
Work Schedule
The position follows a hybrid working schedule requiring presence in the Washington DC-Baltimore Area office four days a week, Monday through Thursday.
