Overview
This position entails delivering advanced administrative support to the Human Resources department by managing research, responding to information requests, and executing diverse clerical tasks. It serves as a communication and information hub for HR executives and their teams.
Key Responsibilities
- Support the VP of HR with calendar coordination, daily administrative operations, and HR team assistance.
- Handle routine office functions including mailing, photocopying, scheduling, office preparation, equipment maintenance, supply procurement, and record keeping.
- Draft and prepare various documents such as invoices, reports, memos, letters, and financial statements.
- Organize and retrieve company documents, records, and reports efficiently.
- Manage incoming correspondence (mail, faxes, emails) and prepare standardized replies to routine queries.
- Coordinate event logistics including scheduling, catering arrangements, setup, and dismantling.
- Review and authorize invoices and official documents.
- Analyze incoming memos and reports to assess importance and arrange distribution accordingly.
- Arrange agendas and logistics for committees, board meetings, and other organizational gatherings.
- Organize travel plans and oversee a dynamic calendar of appointments.
- Assist with the onboarding and offboarding processes, including equipment and system access setup.
- Perform miscellaneous administrative duties as they arise.
Qualifications and Skills
- Bachelor's degree is mandatory.
- Minimum two years of corporate experience, with proven background working alongside executives.
- Strong verbal and written communication capabilities paired with multitasking, customer service, and interpersonal skills.
- Proficient in independently managing workload and time.
- Highly skilled in organizing and maintaining confidentiality of sensitive information.
- Competent with Microsoft Office applications including Word, Excel, and PowerPoint.
- Demonstrates expertise in event planning and financial budgeting.
- Adept at fostering collaborative team relationships and encouraging inclusive teamwork.
- Bilingual proficiency in Korean and English is advantageous but optional.
Compensation and Benefits
The hourly wage for this role is set at $46.15, with eligibility for overtime payment at 1.5 times the base rate for hours exceeding 40 weekly, aligned with applicable laws.
