Role Overview
The Event Marketing Coordinator will play a key organizational and facilitative role in the planning and execution of trade shows, field events, customer programs, and internal company gatherings. This role involves logistical coordination, preparation of materials for both internal teams and attendees, event research, and comprehensive event management from start to finish.
Key Responsibilities
- Coordinate logistics and preparation for trade shows, conferences, sponsorships, webinars, customer events, and internal meetings.
- Manage details such as shipping, booth setup, registration, lead capture, attendee lists, vendor contacts, and post-event follow-up.
- Develop event briefing documents, schedules, and internal preparation guides for participating teams.
- Oversee event collateral, promotional tools, signage, and booth supplies to ensure readiness.
- Support on-site logistics during select events, including booth setup and attendee engagement.
- Assist with Allego’s annual customer conference and company kickoff events.
- Conduct research on event opportunities including audience analysis, sponsorships, costs, competitor presence, and industry trends.
- Keep organized documentation of event vendor contacts, deadlines, budgets, assets, and post-event insights.
- Collaborate with marketing, sales, customer success, and leadership to align event requirements and ensure consistent attendee experiences.
Candidate Profile and Requirements
- 1 to 3 years experience in event coordination, marketing, trade show or field marketing support.
- Excellent organizational skills with ability to juggle multiple stakeholders and deadlines effectively.
- Strong communication skills, both written and verbal.
- Experience creating event planning guides and attendee materials.
- Capable of managing logistics related to shipment, registration, booth supplies, vendors, and staffing.
- Willingness to travel occasionally to support various events.
- Detail oriented with a collaborative, service-focused attitude.
Preferred Expertise
- Experience in B2B SaaS, technology sectors, sales enablement, or corporate marketing events.
- Knowledge of trade show planning, sponsorship coordination, lead capture, and post-event workflows.
- Comfort working with sales, customer success, marketing teams, and executives.
- Familiarity with platforms such as Salesforce, HubSpot, Marketo, Cvent, Splash, Asana, or Monday.com.
- Experience supporting webinars, customer conferences, kickoffs, and internal communications.

Success is defined by well-prepared events, smooth operations, effective stakeholder collaboration, and timely follow-up ensuring Allego’s professional presence at all events. The coordinator should quickly build strong relationships and effectively support multiple events each year.
Working Conditions and Travel
- This hybrid position is based out of Allego’s Waltham, Massachusetts office, with at least one on-site workday weekly.
- Travel requirements are approximately 10-20%, including trade shows, customer, and internal gatherings.

Compensation
The base salary ranges from $59,500 to $70,000 per year, supplemented by a 10% variable bonus and equity.
