Job description

Overview

Valard Construction's Major Projects division is seeking an experienced Document Controller to join their expanding team based in Edmonton, Alberta. This role involves managing project document databases, including digitization, classification, and distribution of critical project information under the supervision of the Project Manager.

Key Responsibilities

  • Coordinate with client representatives regarding document control and document distribution management (DDM) requirements.
  • Maintain professional communication with internal teams and external clients.
  • Oversee the management of the client DDM system on Valard's behalf.
  • Ensure all project documents are correctly formatted, tagged with metadata, and properly filed electronically.
  • Manage timely and accurate transmission and dissemination of project documentation.
  • Conduct routine quality assurance checks on project databases to confirm accuracy.
  • Identify and report deficiencies related to DDM systems, documents, or processes.
  • Support the project team in system access, training, and troubleshooting related to DDM.
  • Assist team members in finding project documents and associated details.
  • Interface with internal and external helpdesks to resolve DDM system issues.
  • Provide improvement suggestions concerning document control processes and system features.
  • Generate project reports, summaries, status updates, and instructions as needed.
  • Perform additional administrative tasks to support project team activities.

Candidate Requirements

  • Minimum of 5 years’ experience handling project documents within construction or engineering sectors.
  • Post-secondary education in a relevant discipline.
  • Experience working with multiple database platforms inclusive of development, implementation, training, and issue resolution.
  • Advanced proficiency in Microsoft Office applications.
  • Strong expertise in data/document management systems management.
  • Previous experience in managing engineering or construction documents.

Preferred Qualifications

  • Hands-on experience with Aconex and SharePoint platforms.

Compensation and Benefits

This role offers an annual salary from $60,320 to $70,720, based on qualifications and experience. Valard Construction provides a comprehensive benefits package including an RRSP matching program to support employees’ health and wellbeing.
