Role Overview
Jefferies invites applications for an entry-level Corporate Events Coordinator to support the organization and execution of various client-focused and internal events across EMEA. The role encompasses a broad spectrum of events, including client meetings, networking lunches and dinners, cocktail receptions, speaker series, sporting occasions, and seminars. Operating within diverse business units such as Equities, Fixed Income, Investment Banking, and Corporate divisions, this position is based in London and involves close collaboration across teams to ensure seamless event delivery.
Key Responsibilities
- Coordinate comprehensively a variety of meetings, events, and sponsorships (industry and charitable) across the region.
- Plan, manage, and host virtual events and webinars using platforms like Zoom and Microsoft Teams.
- Organize detailed program specifications for onsite events including venue layout, audiovisual setup, catering, and attendee materials like name tags.
- Oversee the creation of invitations, event signage, and branding consistent with firm standards.
- Handle financial aspects including budgeting, cost negotiations, and vendor payments related to events.
- Build and maintain fruitful supplier partnerships.
- Negotiate contracts and engage with vendors such as venues, hotels, transportation services, entertainment, and décor providers.
- Manage contract submissions and legal reviews to ensure compliance with organization procedures and approvals.
- Provide onsite support during events, including readiness to travel as needed.
- Administer team functions including monthly expense reconciliation and vendor directory maintenance.
Candidate Qualifications
- Preferably at least 2 years of experience in event planning or a related industry.
- Background in or exposure to the financial services sector is advantageous.
- A fast learner with strong self-motivation and initiative.
- Capable of working both collaboratively within a team and independently.
- Ability to manage several projects simultaneously while maintaining a high degree of ownership.
- Exceptional organizational skills with adaptability and acute attention to detail.
- Excellent communication skills, both oral and written.
- Strong computer literacy, including proficient use of MS Outlook, Word, Excel, and PowerPoint.
