Role Overview
The organization is looking for a polished, highly organized Executive Assistant to the CEO who can handle a wide range of administrative and executive support tasks. The role calls for someone proactive, dependable, and able to manage confidential information with care.
What You Will Do
- Oversee the CEO’s diary, schedule, appointments, and daily calendar coordination.
- Handle incoming calls by answering, screening, and routing them in a professional manner.
- Welcome and support visitors, clients, and other stakeholders when they arrive.
- Draft, prepare, and format letters, reports, presentations, and other business materials.
- Monitor and manage incoming and outgoing email, along with formal business correspondence.
- Set up meetings, organize agendas, and capture accurate minutes during discussions.
- Keep both paper-based and digital records neatly arranged and easy to retrieve.
- Arrange business travel end to end, including flights, stays, and local transport.
What We’re Looking For
- Strong capability to support executive travel, coordinate off-site meetings, and remain available for occasional after-hours business needs.
- Well-developed planning, prioritization, and time-management skills.
- Clear and effective written as well as spoken communication.
- A professional approach, along with strong discretion and respect for confidentiality.
- Comfort using Microsoft Office and standard business communication platforms.
- Prior experience in an Executive Assistant, Personal Assistant, or closely related administrative position is necessary, ideally in a creative, advertising, marketing, media, or communications agency setting.
