Role Overview
The Business Operations Coordinator plays a critical role in overseeing, managing, and controlling business operations to ensure alignment with client expectations and company objectives. This position operates entirely remotely, with specific location details discussed during interviews.
Key Responsibilities
- Champion safety as the highest priority, ensuring all personnel adhere to safe work practices.
- Support Service Managers with daily coordination and management of operational activities.
- Oversee business operations to achieve client satisfaction and organizational goals.
- Serve as the primary liaison between customers and management to facilitate seamless operations delivery.
- Manage and coordinate project tasks to deliver projects on time and within budget.
- Ensure compliance with company policies and standards.
- Develop and maintain strong customer relationships through frequent communication and meetings.
- Lead and document internal project meetings with stakeholders; schedule and participate in external meetings as well.
- Resolve multiple high-priority project issues promptly and effectively.
- Analyze operational performance and propose strategic improvements.
- Guide internal teams to meet performance benchmarks.
- Identify and quickly address operational process challenges.
- Follow standardized operating procedures for efficient business processes.
- Maintain precise and clear operations documentation and procedures.
- Handle essential administrative responsibilities including project filing system management.
- Code vendor invoices accurately and verify for correctness.
- Prepare and document extra work orders; notify and follow up with subcontractors on change orders.
- Draft subcontracts and purchase orders as needed.
- Assist with monthly job profitability reviews and coordinate with teams to meet financial targets.
- Track and approve/reject CMMS work orders for invoicing.
- Create invoices for approval before submission to the owner.
- Recommend process improvements, collaborate on implementing new technologies, and coordinate with management.
- Promote diversity and inclusion as an integral part of company culture.
Performance Objectives
- Compliance with company policies and corporate procedures manual.
- Maintain current, standardized job-site files.
- Ensure timely and accurate preparation of extra work orders, subcontracts, purchase orders, and expedite status updates.
- Achieve high customer and client satisfaction.
- Demonstrate continuous personal and professional development.
- Contribute positively to project team morale and attitude.
Qualifications
- Minimum of 2 years experience handling contracts and change order management.
- High School Diploma or GED required.
- Familiarity with ERP systems.
- Strong independent judgment and self-starting capability.
- Ability to cultivate collaboration among diverse teams.
- Experience within a diverse, employee-owned, multi-disciplinary company preferred.
- Excellent communication skills with the ability to translate vision into actionable plans.
