Role Overview
This position involves comprehensive ownership of the bid management process for designated projects, starting from evaluating opportunities to final submission and handling further clarifications. It requires meticulous coordination, rigorous timeline management, and ensuring adherence to bid governance protocols.
Responsibilities
- Lead the entire bid lifecycle including opportunity qualification, planning, and submission while managing all associated timelines and responsibilities.
- Create and maintain detailed bid schedules and responsibility matrices (RACI charts), ensuring compliance from all teams involved.
- Perform in-depth reviews of RFPs, RFIs, and RFQs to break down requirements, develop compliance matrices, and guarantee full adherence to criteria.
- Collaborate with teams across solution design, subject matter experts, pricing, legal, HR, and delivery for gathering bid content, consolidating input, and quality assurance.
- Facilitate bid kick-off discussions, strategic storyboarding, and staged review processes such as pink, red, and gold team evaluations.
- Oversee document formatting, editing, proofreading, and version control to maintain consistent tone, brand identity, and compliance throughout all bid documents.
- Manage bid governance activities including go/no-go decisions, risk tracking, and escalating issues to leadership when risks to timelines or content arise.
- Assist pricing teams with compiling commercial schedules and ensure alignment between commercial and technical volumes.
- Coordinate logistics for final submission including portal uploads, physical document dispatch, electronic signatures, and handle follow-up clarifications.
- Support preparation and rehearsal of oral presentations alongside pursuit strategists and client-facing leaders.
- Maintain and enhance bid content libraries, templates, boilerplate text, and repositories of past performance data.
- Lead post-bid win/loss analyses to integrate lessons learned into future bid strategies and processes.
Candidate Profile
- 10 to 15 years of experience in bid, proposal management, or business development support within consulting, IT/ITES, professional services, or large enterprises.
- Demonstrated ability to manage multiple simultaneous, complex bids within demanding deadlines.
- Excellent project management capabilities combined with skillful coordination of senior stakeholders without direct authority.
- Strong communication skills, both written and oral, with meticulous attention to detail and commitment to compliance.
- Practical knowledge of proposal tools, compliance matrix creation, and structured bid governance frameworks including color-team reviews.
- Understanding of commercial and pricing schedule integration with technical proposal content.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint); experience with content or proposal management platforms is advantageous.
- Bachelor's degree mandatory; MBA or equivalent postgraduate qualifications preferred.
- Possession of APMP or PMP certifications is beneficial.
