Position Overview
The School District 60's District Administration Office is seeking a dedicated Accounts Payable Clerk. This role entails managing the payment processing of supplier invoices and expense vouchers, as well as preparing payments. The position reports directly to the Department Supervisor. The role requires working eight hours daily, with a work year based on ten months. The anticipated start date is September 8, 2026, and applications close at noon on July 17, 2028.
Key Responsibilities
- Enter invoice data, cheque requisitions, and expense vouchers for payment processing.
- Generate and print computer-administered cheques and cheque registers.
- Review submitted invoices meticulously for errors and duplicate entries.
- Resolve issues related to payables independently by liaising with vendors and internal personnel, with backup from the Department Supervisor.
- Maintain organized, accurate records of all paid invoices.
- Prepare statements for income tax purposes upon request.
- Reconcile monthly general ledger accounts payable balances.
- Assist with budget-related research of accounts payable.
- Communicate with banks concerning U.S. drafts and cheque voids.
- Perform relief receptionist duties when requested.
- Reconcile vendor statements each month.
- Carry out additional work-related duties as assigned.
Qualifications and Attributes
- Completion of Grade 12 or equivalent education.
- At least two years of recent experience (within five years) using computerized batch-entry accounts payable systems.
- Completion of a minimum of two semesters in accredited post-secondary accounting or an equivalent qualification.
- Knowledge of fundamental accounting principles.
- Must satisfy clerical and typing proficiency (40 words per minute), as evaluated by district standards.
- Strong precision in data entry and proficient computer skills.
- Capability to work independently, prioritize tasks, and maintain self-motivation with minimal supervision.
- Professional handling of challenging conversations.
- Willingness to undertake Level II First Aid training if requested, provided by the district.
- Completion of WHMIS certification and other district-provided safety training during probation.
- Excellent interpersonal skills and teamwork aptitude.
- Ability to successfully pass a Vulnerable Sector Criminal Records Search before employment commencement.
- Proof of educational credentials must be submitted before beginning the role.
Compensation and Schedule
The hourly wage for this role is $29.88. The position is scheduled for ten months per year, with eight-hour workdays.
