Role Overview
CT Automotive India is looking for a meticulous and proactive Account and Administration Executive to support Finance, Administration, HR Operations, and Travel Desk functions at the Pune location. This role involves handling financial reconciliations, vendor invoice management, employee reimbursements, travel and visa coordination, and various administrative tasks while ensuring accuracy, compliance, and timely execution.
Key Responsibilities
- Conduct daily, weekly, and monthly bank reconciliations and resolve inconsistencies.
- Review, reconcile, and process vendor invoices along with payment records and documentation.
- Manage employee reimbursement claims aligned with company policies and approval procedures.
- Oversee petty cash and maintain accurate cash transaction records.
- Liaise with banks for account activities, payments, and transaction inquiries.
- Prepare payment requests and track vendor payments to ensure timely settlements.
- Maintain precise financial records and support audit and statutory compliance processes.
- Generate periodic financial reports and reconciliation summaries for management.
- Coordinate domestic and international travel arrangements including flights, hotels, local transport, and itineraries.
- Manage visa applications and collaborate with travel agencies or consultants for timely processing.
- Process travel-related invoices and employee travel expense claims adhering to company policy.
- Track travel expenditures and maintain compliance with internal travel guidelines.
- Collaborate with employees, travel vendors, and finance teams to ensure smooth travel booking and expense processing workflows.
- Maintain strict confidentiality of financial and administrative records along with proper documentation.
- Work with external vendors and service providers for office administration and facility needs.
- Support general office administration such as document management, courier services, and inventory of office supplies.
- Monitor administrative expenses and keep updated trackers and reports.
- Ensure alignment with organizational policies, procedures, and standard operating practices.
- Assist internal and external audit processes by maintaining accurate documentation and records.
- Prepare operational dashboards, reports, and trackers for management review.
- Identify and recommend improvements to financial and administrative workflows to boost efficiency.
Candidate Profile
- Possess strong analytical skills with an aptitude for detail and problem-solving.
- Excellent communication skills and ability to effectively manage multiple priorities.
- Proficiency in MS Excel including advanced functions like VLOOKUP and Pivot Tables.
