About Voyis
Voyis develops and produces advanced underwater optical sensors—including lasers, cameras, and lighting systems—for underwater vehicles, enhancing capabilities in subsea surveys and exploration. Their solutions have facilitated ocean floor surveys totaling over 10,000 kilometers across all seven continents, assisting in better understanding challenging underwater environments. Operating independently under Kraken Robotics, all products are designed and manufactured in Waterloo, Ontario.
Role Overview
The Supply Chain Coordinator plays an essential role in supporting Voyis's supply chain activities by managing purchases of system components and consumables for manufacturing. Coordination with suppliers to ensure timely deliveries and handling certain shipping and receiving functions are key parts of this position. This role reports directly to the Director of Operations and requires a collaborative, proactive approach within a small, dynamic team environment striving to innovate and meet shared objectives.
Key Responsibilities
- Procure parts, consumables, equipment, services, and other necessary items for manufacturing and support departments.
- Collaborate with internal teams to define purchasing needs, evaluate supplier quotes, select vendors, issue purchase orders, and keep stakeholders informed about order progress.
- Negotiate commercial terms including pricing, lead times, payment and delivery conditions, minimum order quantities, and service standards with suppliers.
- Track supplier order confirmations, pending purchase orders, lead times, shortages, and delivery risks actively.
- Expedite critical orders and proactively communicate potential issues with production planning and relevant teams.
- Maintain comprehensive and accurate records in the ERP system for suppliers, items, purchases, and logistics details.
- Manage inbound and outbound shipments globally, including carrier selection, freight quotation, scheduling, delivery tracking, and issue resolution.
- Prepare and retain accurate export, import, and shipping documentation as per policies and regulatory requirements.
- Resolve discrepancies related to purchase orders, receipts, pricing, freight, taxes, invoices, quality, returns, and credits among suppliers, accounting, quality assurance, and end users.
- Develop and review purchasing and logistics reports covering spend, material usage, outstanding orders, invoice issues, freight expenses, supplier performance, and lead times.
- Support inventory accuracy via cycle counting, transaction record maintenance, discrepancy investigations, bin organization, and workplace organization initiatives such as 5S.
- Assist with receiving and warehousing duties, including inspecting deliveries for damage, verifying quantities, processing receipts in ERP, labeling, and correct storage placement.
- Create and refine process documentation and work instructions covering purchasing, supplier management, logistics, receiving, and inventory control.
Candidate Qualifications
- Prior experience in supply chain operations encompassing purchasing, supplier relations, international logistics, inventory management, or related areas.
- Keen attention to detail with proven ability to maintain accurate records, manage multiple priorities, and fulfill commitments.
- Post-secondary education in purchasing, supply chain, operations, business, or closely related discipline.
- A positive growth mindset with enthusiasm for continuous improvement and the ability to succeed without all answers upfront.
- Strong communication and collaboration skills to build effective partnerships across teams and with external suppliers.
- Proficient in ERP systems and Microsoft Excel, capable of analyzing purchasing and logistics data, spotting trends, and producing reports.
- Organized and adept at problem solving and negotiation, managing competing demands and responding calmly to supply chain challenges.
Preferred Assets
- Formal certification or degree in Supply Chain and Operations Management or Purchasing, such as ASCM credentials.
- Experience with ERP platforms like NetSuite.
- Background or familiarity with hardware assembly, electronics, or high-tech manufacturing.
- Interest in fields related to underwater technology, exploration, or robotics.

Compensation
The salary for this position ranges between $50,000 and $65,000 annually, with actual pay based on experience, qualifications, and market conditions.
