Role Summary and Duties
- Confirm all deliveries are accompanied by necessary documentation such as Good Receiving Notes, purchase orders, and other relevant papers.
- Receive, inspect, and meticulously document all incoming goods, verifying quantity and quality against purchase or delivery records.
- Maintain organized and systematic storage adhering to stock rotation methods like FIFO to facilitate efficient retrieval.
- Keep proper records of orders and receiving documentation including scheduled delivery dates and GRN numbers.
- Ensure invoices and delivery orders are correctly stamped and summarized daily, with all invoices signed by appropriate heads of departments before forwarding to Accounts.
- Document goods received without adequate paperwork and manage them appropriately both digitally and physically.
- Handle records for any rejected goods, containers, empty bottles, and outgoing cases to maintain accountability.
- Prepare Credit Memo documentation for returned items accurately.
- Secure loading bay items complying with all health and safety regulations.
- Keep storage areas clean, safe, secure, and well-maintained; oversee proper shelving and cleanliness as per schedule.
- Conduct periodic physical stock audits to reconcile with system inventory, analyzing trends to optimize stock levels and control costs.
- Carry out monthly inventory counts in storerooms and other assigned areas, issuing supplies per approved requests and managing replenishment based on PAR levels.
- Support the Food & Beverage Controller with monthly inventories not only in the beverage store but also across outlets.
- Identify damaged or defective stock, coordinating replacements or returns with relevant teams.
- Engage in cross-training across other accounting areas to aid career development and cover absences during emergencies or vacations.
- Attend all required training programs to maintain job proficiency.
- Obtain signatures from department representatives upon item distribution, ensuring complete product knowledge within storage areas.
