Role Overview
We are looking for a proactive Project Support Officer to assist in the daily operational and project tasks supporting Project Managers in our Narre Warren office. This role involves providing advanced administrative assistance to Business and Service Line teams throughout the project lifecycle, ensuring smooth delivery by closely liaising with Project Managers and business leaders.
Key Responsibilities
- Assist Project Managers with managing project costs, budgets, and margins during both proposal and execution phases
- Participate in the compilation and preparation of tender and bidding documentation
- Maintain registers and Customer Relationship Management systems, ensuring all go/no-go documentation is properly recorded
- Support Project Managers in invoice processing and debtor follow-up
- Plan and coordinate project activities and schedules
- Manage relationships and communications with suppliers and subcontractors
- Assist with reporting, timesheets, quality assurance, compliance tasks, and expense claims
- Provide general administrative support as needed
Candidate Profile & Qualifications
- Proven experience in a comparable support role, preferably within professional services
- Familiarity with technical projects in electrical distribution or energy sectors is highly desirable
- Strong organizational and time management capabilities
- Professional, respectful, and courteous demeanor
- Ability to work independently with minimal supervision
- Excellent personal presentation
- Competent in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook
- Strong verbal and written communication skills
- High attention to detail
- Positive mindset and solution-focused approach
- Enjoys collaborating and building strong working relationships
