Job Overview

The Project Data Administrator plays a pivotal role in maintaining the integrity and reliability of project data for digital safety, compliance, and operational tools. This position acts as the primary custodian of project information, ensuring the accuracy, consistency, and timeliness of data to support decision-making and foster seamless collaboration across multiple teams and projects. Managing over 20 active projects, the role demands attentive oversight over data governance, system administration, and reporting to enhance operational efficiency.

Key Responsibilities

  • Maintain accurate and validated project data and oversee administration of Project Management Information Systems (PMIS) and application tools, including user access and system testing.
  • Generate timely and clear reports on KPIs and milestones while managing dashboards and standardized portfolio tools.
  • Control version-managed project documentation and keep knowledge bases organized and current across platforms.
  • Configure system workflows and checklists, troubleshoot user concerns, and assist application administrators at multiple locations.
  • Monitor project tasks, schedules, and progress, escalating delays as needed to ensure steady advancement.
  • Collaborate with cross-functional teams, providing onboarding, access setup, and training support for Smartsheet and related tools.

Qualifications and Skills

  • Experience with enterprise data or content management systems such as databases and SharePoint.
  • Proven background in supporting project teams through data administration and ongoing maintenance of project information.
  • Ability to interpret operational requirements and convert them into structured data and documentation.
  • Meticulous attention to detail with a strong commitment to data accuracy, consistency, and compliance.
  • Skilled in organizing data by business lines, roles, locations, and schedules.
  • Experience in creating and maintaining auditable procedural documentation.
  • Able to work independently on well-defined tasks while coordinating with project leads.
  • Familiarity with project rollouts, sustainment activities, and requirements documentation updates.
  • Adept at managing assigned priorities in a project-driven environment with minimal oversight.
  • Excellent communication and collaboration skills with project managers, operations partners, and subject matter experts.

Preferred Qualifications

  • Proficiency with Airtable and Microsoft Office Suite.
  • Experience with artificial intelligence technologies.

Education

Minimum: High School Diploma
Preferred: Associate’s or Bachelor’s degree.

Compensation and Benefits

The hourly pay range for this position in Lake Buena Vista, FL, is between $22.60 and $28.25. Actual compensation will depend on internal equity, the candidate’s geographic location, relevant skills, knowledge, and experience. The package may include bonuses or long-term incentives along with standard medical, financial, and other benefits, commensurate with the job level.

Additional Information

This role requires onsite availability with part-time scheduling. The position supports a growing portfolio of projects and involves interfacing with multiple stakeholders to promote project data integrity and efficient workflow management.
