Role overview

The Project Coordinator for Professional Services supports consulting and delivery teams by managing the coordination layer of client engagements from kickoff through completion. This role keeps projects organized and moving forward by handling schedules, documentation, communication, and logistics so consultants can focus on delivering to clients.

Project coordination and tracking

• Maintain project plans, schedules, and task lists in project management tools, ensuring they stay current and accurate.
• Watch milestones, dependencies, and action items, and follow up early on overdue tasks before they create delays.
• Track scope, timelines, and resource use, and escalate risks or variances to the project lead.

Communication and documentation

• Create and send meeting agendas, notes, and action-item summaries promptly.
• Keep project files and documentation organized and accurate throughout the engagement.
• Prepare internal and client-facing status updates and coordinate their distribution.

Project operations

• Coordinate logistics for kickoffs, working sessions, and handoffs.
• Bring new projects into delivery workflows and help ensure teams follow established delivery standards.
• Support change requests, risk logs, and issue escalation processes.

Financial and administrative support

• Help validate time entries, monitor budgets, and support invoicing activities.
• Reconcile project hours with plans and contract expectations.
• Assist with project closeout, including final documents and lessons learned.

Candidate profile

The ideal candidate has a bachelor’s degree or an equivalent mix of education and professional experience, along with 1–2 years in project coordination, operations, or client support. The role requires strong organization, attention to detail, clear written and verbal communication, and the ability to manage several workstreams at once. Comfort working both independently and with others in a fast-moving environment is important.

Tools and preferred experience

Proficiency with Microsoft 365 tools such as Excel, PowerPoint, Outlook, and Teams is required. Experience with project management platforms such as Monday.com, Smartsheet, or Asana is preferred.
