The XO AI team is rapidly advancing the integration and adoption of AI to enhance player engagement and operational capabilities.
Role Overview
We are seeking an Operations and Process Lead who will ensure the smooth functioning of the XO AI team by managing finances, optimizing internal operations, overseeing vendor relationships and software licenses, and coordinating the team1s logistical needs. Reporting to the Director of AI Change and Adoption, you will play a pivotal role in sustaining an efficient and scalable operational foundation that supports fast-paced innovation.
Key Responsibilities
- Manage end-to-end financial operations for the XO AI team, including purchase orders, vendor billing, invoice tracking, and budget accuracy, collaborating closely with the Finance department to ensure timely and audit-ready expenditures.
- Develop, document, and continually refine the team's internal processes ensuring repeatability and scalability to replace informal work methods.
- Oversee the management of application licenses and access across the team, tracking usage, costs, and renewal schedules, as well as handling procurement and renewal activities.
- Coordinate team operational cadence, including leadership meetings, team gatherings, offsite events, and reviews, managing agendas, logistics, follow-ups, and other details that enhance effectiveness.
- Serve as the operational contact point for the XO AI team by addressing requests, resolving logistical issues, and facilitating communication among stakeholders.
- Collaborate with leadership and program managers on workforce planning, onboarding processes, vendor/contractor oversight, ensuring clear and consistent team operations.
- Proactively detect and resolve potential operational obstacles by introducing structured yet flexible solutions.
Qualifications
- Over five years of experience in operations, business operations, or chief-of-staff roles within dynamic environments.
- Proven expertise in financial management, including purchase orders, invoicing, vendor relations, and budget tracking, with adeptness in working alongside Finance teams.
- Demonstrated ability to build and enhance practical operational processes actively used by teams.
- Hands-on experience leveraging AI solutions, particularly agentic AI tools, to drive process improvements.
- Strong organizational and project management skills, able to juggle multiple tasks effectively without overlooking details.
- Experience managing team or departmental software licenses, tooling access, and vendor partnerships.
- Excellent written communication skills with attention to producing clear and helpful documentation.
- Sound judgment in prioritizing issues, knowing when to escalate and when to manage independently.
- A bachelor1s degree in a relevant field or equivalent professional experience.
Compensation and Benefits
The expected salary range for this position in British Columbia varies approximately between 92900 to 129200 CAD annually, depending on specific location such as Vancouver or Victoria. In addition to salary, EA offers comprehensive benefits including three weeks of vacation per year, ten days of sick leave, paid parental leaves with top-up benefits, extensive health coverage (medical, dental, vision), life and disability insurance, and a retirement savings plan. Certain positions may also qualify for bonuses and equity awards.
