Job Overview

We are seeking a motivated and well-organized Meetings & Events Executive to join the dynamic Meetings & Events Sales team at one of London's largest hotels. This role offers a chance to thrive in a fast-paced environment while managing events from first enquiry through to their successful execution, ensuring every client receives exceptional service.

Key Responsibilities

  • Handle meeting and event enquiries from initial contact through post-event follow-up, managing bookings effectively.
  • Prepare detailed proposals, quotations, contracts, and all relevant event documentation.
  • Develop and maintain strong client relationships to provide an exceptional customer experience during the booking process.
  • Drive booking conversions by employing proactive sales strategies and diligent follow-ups.
  • Explore and capitalize on up-selling opportunities across accommodation, catering, and extra services.
  • Coordinate closely with departments including Operations, Kitchen, Reservations, Finance, and Sales to guarantee flawless event delivery.
  • Create precise function sheets and ensure clear communication of event details to operational staff.
  • Manage your event schedule efficiently to optimize revenue and profitability.
  • Professionally address client feedback and solve issues as they arise.
  • Offer assistance in promotional campaigns, client property tours, and networking events when necessary.
  • Maintain comprehensive records and adhere strictly to company procedures and standards.

Candidate Requirements

  • Prior experience in Meetings & Events, Conference & Events, Reservations, or Hotel Sales roles, preferably in a four or five-star hotel environment.
  • Exceptional verbal and written communication skills coupled with superior customer service ability.
  • Proven track record managing event enquiries, quotations, and bookings from start to finish.
  • Highly organized with attention to detail and the capacity to concurrently manage multiple events.
  • Commercial acumen including rate negotiation and identifying upselling possibilities.
  • Relationship-building skills to collaborate effectively with clients and cross-functional teams such as Operations, Kitchen, Sales, and Reservations.
  • Strong administrative capabilities, especially in generating event documents and function sheets.
  • Excellent time management and ability to prioritize in a fast-moving workplace.
  • Positive, proactive disposition with a focus on problem-solving.
  • Comfortable working independently while supporting team objectives.
  • Solid IT literacy, including Microsoft Office; familiarity with Opera Sales & Catering or comparable hotel sales systems is a plus.

Preferred Qualifications

  • Experience managing a high volume of meetings and events.
  • Knowledgeable about London’s corporate and events market.
  • Exposure to agency bookings and corporate clients.
  • Understanding of hotel revenue management concepts.
  • Insight into hotel operations and the coordination of conferences, meetings, weddings, or social events.
