Role Overview
This position is for an adaptable Executive or Senior Executive to deliver extensive corporate planning, secretariat, and administrative assistance across several divisions within the Corporate Development Group, including Policy and Planning, Incentive Policy, Legal, and Workplace departments. The role encompasses tasks such as data collection and management, secretariat support, procurement and contract oversight, financial process handling, and general administrative duties to ensure seamless operations across these diverse functions.
Key Responsibilities
- Provide assistance with procurement, invoicing, and contract management processes, including preparing approval submissions, engaging with procurement platforms like VITAL and GeBIZ, managing tender documentation, facilitating tender briefings and procurement processes, and processing transport invoices monthly while complying with internal policies.
- Support budgeting activities including financial year and quarterly budget preparation, monitoring budget use, and performing budget transfers for departments within the Corporate Development Group.
- Gather, organize, and upload key data such as KPIs and grant outcome metrics to data analytics platforms; maintain accurate administrative records and ensure timely sharing of information across departments.
- Provide secretariat services including calendar and meeting agenda management for department heads, coordinating with internal stakeholders for meeting preparations, and consolidating departmental submissions and returns.
- Manage and update content on the Intranet and other internal communication channels, including posting announcements, maintaining the Legal page and grants documents, and updating organizational directories and telephone systems.
- Support corporate event management, including scheduling, procurement of refreshments, venue booking, and logistic arrangements for training sessions, board meetings, retreats, and departmental events.
- Oversee executive and office administrative functions such as staff onboarding/offboarding, workstation setup, access permission coordination, email correspondence management, postal distribution, newspaper delivery coordination, inventory control for supplies, and subscription management.
- Carry out various ad-hoc tasks as delegated by supervisors and department heads to ensure smooth administrative operations.
Candidate Profile
- Academic background preferred in Business Administration, Corporate Communications, Finance, or related disciplines.
- 3 to 5 years of relevant experience supporting corporate planning, secretariat functions, finance procedures, or administration, ideally within corporate or governmental multi-department contexts.
- Proficient understanding of government procurement regulations and finance processes, including claims handling.
- Experience working with the GeBIZ procurement system and managing tender processes is advantageous.
- Familiarity with Workday or comparable ERP platforms for payment and claim workflows.
- Strong capabilities in budget oversight, financial monitoring, and reporting across multiple cost centers.
- Excellent skills in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Prior secretariat and meeting coordination experience is essential.
- Knowledge of data management/analytics tools and content management systems such as Intranet platforms.
