Overview
We are looking for experienced Executive Assistants who excel in dynamic, professional environments to deliver high-level support to senior executives and business leaders. This role is fully remote and intended for candidates based in South Africa who can work UK business hours and maintain a dedicated, reliable home office setup.
Key Duties
- Provide comprehensive administrative support to senior leadership, ensuring smooth day-to-day operations.
- Manage and coordinate complex calendars, scheduling meetings across various time zones effectively.
- Arrange domestic and international travel plans, including accommodation and itineraries.
- Create presentations, reports, meeting materials, and handle business correspondence.
- Schedule and organize virtual and physical meetings, prepare agendas, and take minutes.
- Screen emails, prioritize communications and manage executives' inboxes professionally.
- Engage with clients, suppliers, and internal teams with a professional approach.
- Monitor action items and follow up to meet deadlines.
- Provide project coordination assistance and perform various administrative functions within the organization.
- Process expense claims and maintain records accurately when required.
- Handle confidential information responsibly and with discretion.
- Continuously identify and implement improvements to administrative procedures and executive efficiency.
Candidate Profile
- Between 3 to 7 years of experience as an Executive Assistant, Personal Assistant, or Senior Administrative Assistant supporting senior executives.
- Demonstrated expertise in managing complex diaries, meetings, and travels.
- Excellent professional communication skills in English, both written and verbal, with a polished telephone manner.
- Strong proficiency in Microsoft Office 365 suite including Outlook, Word, Excel, PowerPoint, and Teams.
- Familiarity with collaboration and productivity tools like Zoom, Google Workspace, Slack, Asana, Monday.com, Trello, or similar platforms.
- Superior organizational skills, time management, multitasking abilities, and capacity to work autonomously with minimal supervision.
- High discretion and experience in dealing with sensitive and confidential information.
- Excellent attention to detail and adept problem-solving capabilities.
- Stable fiber internet connection, a reliable backup power source (UPS/Inverter), and a dedicated workspace at home.
- Ability and willingness to work according to UK business hours (typically 09:00-17:30 UK time, accounting for daylight savings).
Additional Advantageous Experience
- Previous support experience at the C-suite level.
- Remote work experience with international organizations.
- Familiarity with CRM systems and project management software.
- Minute-taking and board meeting administration skills.
- Exposure to finance-related administrative duties, such as expense management or basic bookkeeping.
