Your Team and Role Mission
We seek a dedicated Executive Assistant & Office Manager based in New York City to provide integral support to our US executive leadership and ensure smooth day-to-day office operations. You will be a key resource for maintaining organizational efficiency for leadership and managing our Manhattan office environment. Reporting to the Chief of Staff, this role collaborates closely with teams spanning New York and Paris, allowing leaders to focus on strategic objectives by alleviating administrative burdens and coordinating complex schedules, travel, and operational logistics.
Key Responsibilities
- Manage complex calendars and scheduling for US executives.
- Arrange and coordinate travel and customer meeting logistics.
- Prepare agendas, materials, and follow-ups for leadership meetings.
- Organize candidate visits for the American in-office teams.
- Oversee daily administrative and operational office tasks.
- Serve as the primary operational lead for the New York City office, including managing access, maintaining common areas, handling deliveries, and supporting vendor relations.
- Host and coordinate visits by employees, candidates, customers, and executives from Paris headquarters.
- Plan and manage employee event scheduling and logistics.
- Provide scheduling support for additional Paris-based executives as capacity allows.
Required Qualifications
- Minimum 4 years of experience as an Executive Assistant supporting senior leadership, preferably within fast-paced or scaling companies.
- Expertise in managing intricate calendars, prioritizing tasks, and coordinating travel arrangements effectively.
- Office or facilities management experience including handling access control, vendors, purchasing, and visitor logistics.
- Exceptional written and oral communication abilities.
- Discretion and sound judgment in managing confidential information.
- Comfort with coordinating across US and European time zones.
- Residency in New York City with availability to work onsite at least four days per week in Manhattan.
Preferred Skills (Not Mandatory)
- Familiarity using AI-driven productivity tools to enhance workflow efficiency.
- Experience working in a US office of a European-headquartered firm, with cross-cultural collaboration exposure.
Hiring Process
- Initial video screening with a recruiter to discuss career goals and mutual fit.
- Manager interview focused on leadership partnership capabilities, assessing organization, prioritization, and communication skills.
- Business case evaluation with VP GTM and Customer Success leaders to assess planning, problem-solving, and attention to detail.
- Final interview with the CEO to explore company vision and ambition.
- References check following the CEO interview.
Compensation and Benefits
- Annual salary range from 90,000 to 120,000 USD, with actual pay dependent on experience and qualifications; additional equity and benefits may apply.
