Join a respected global financial services organization in Manhattan’s Financial District as an Executive Assistant supporting a C-suite leader. Work Schedule and Location

Location: New York City, New York (Financial District)

Schedule: Full-time, Monday through Friday, 8:30 AM to 5:30 PM, onsite

Compensation

Pay range: $114,000 to $145,000 per year, depending on experience.

Core Duties

  • Manage a demanding calendar that includes internal leadership meetings, board-related commitments, and external stakeholder interactions.
  • Organize intricate domestic and international travel, including airfare, ground transport, lodging, and restaurant arrangements.
  • Prepare and review monthly expense reports, along with periodic checks of past submissions.
  • Act as a primary contact by phone and email, deciding what requires the executive’s immediate attention.
  • Arrange private and highly sensitive meetings, including those involving outside legal counsel.
  • Create meeting materials such as slide decks, printed binders, agendas, and handle room setup, teardown, catering, and AV support.
  • Coordinate virtual meetings, including attendee admission and live troubleshooting.
  • Oversee registration and logistics for conferences and other external events for the executive and select leadership members.
  • Assist with onboarding arrangements for new hires entering the leadership office.
  • Handle day-to-day personal calendar needs, such as medical appointments and personal errands.
  • Provide daily briefing updates at the start and end of the day, summarizing priorities, open items, and status changes.
  • Welcome and escort visiting clients and guests.
  • Keep confidential files and records organized and securely maintained.
  • Step in to support other leaders on the team when needed.
