Position Overview
The Executive Administrative Assistant offers comprehensive administrative support to the Vice President of Finance and Analytics and AVP of Revenue Cycle. Core tasks include conducting research, compiling statistical reports, managing information requests, and performing clerical duties such as calendar organization, correspondence preparation, visitor reception, conference call arrangements, and meeting coordination for senior executives. The role demands exceptional interpersonal and customer service skills for effective interaction with executive leadership, physicians, staff, and the general public.
Key Responsibilities
- Serve as a representative for executives in meetings and communications to ensure accuracy, alignment, and timely completion of follow-up actions.
- Handle sensitive and confidential information with discretion and exercise sound judgment when making decisions or managing confidential matters for executives.
- Prioritize executive issues, manage tasks requiring immediate attention, and track progress to ensure resolution of important matters.
- Monitor the status and follow up on assignments delegated to others; facilitate progress tracking of executive-sponsored initiatives.
- Maintain and organize the executives' calendars, scheduling meetings, appointments, and speaking engagements.
- Oversee travel arrangements, including booking and processing related reimbursements and invoices.
- Act as the liaison between executives and internal/external parties such as staff, vendors, consultants, and agencies.
- Screen and manage phone calls, emails, and visitors, offering professional and diplomatic responses or redirections.
- Compose, edit, and prepare high-quality correspondence, reports, presentations, and executive documents.
- Collect, analyze, and summarize data from multiple sources to aid informed executive decision-making.
- Support facility-wide supply ordering and inventory management when needed.
- Organize logistics for events, retreats, meetings, and special projects.
Qualifications and Skills
- Bachelor’s degree or equivalent relevant experience required.
- Minimum five years of Executive Assistant experience supporting C-level executives is preferred.
- Advanced written and verbal communication skills, with strong attention to detail and interpersonal aptitude.
- Ability to thrive in a fast-paced work environment.
- Independent problem-solving and critical thinking capabilities.
