Events Coordinator

About the Role

Based at our headquarters in Williamsburg, Brooklyn, the Events Coordinator position is a full-time, fully on-site role with an annual salary between $55,000 and $60,000. This role supports the execution of various brand events including store installations, experiential activations, VIP gatherings and third-party activations. It requires collaboration with multiple internal departments such as Marketing, Retail, Content, Visual Merchandising, and Design, as well as outside vendors.

Responsibilities

• Manage daily logistics and operations for experiential projects like hospitality trips and VIP events.
• Identify, negotiate, and outsource third-party vendors and independent contractors for event projects.
• Create detailed project briefs for internal distribution.
• Oversee on-site management of smaller activations independently.
• Arrange and participate in meetings with vendors and venues.
• Negotiate vendor fees and contract terms as necessary.
• Maintain vendor invoice records and coordinate timely payment with Accounts Payable.
• Coordinate communications between vendors, venue representatives, and internal teams.
• Develop and monitor production timelines for events and store installations.
• Update and manage the internal calendar of events.
• Organize and maintain a comprehensive archive of event photography and summaries.

Requirements

• Bachelor’s degree is mandatory.
• At least two years' experience producing live events and immersive installations.
• Understanding of technical production methods and custom fabrication with existing vendor and production partnerships.
• Proficiency in G-Suite, Microsoft Office 365, and Adobe Creative Suite.
• Strong organizational abilities with an exceptional attention to detail.
• Capacity to manage multiple tasks in a fast-moving work environment.
• Competent in preparing and managing detailed budgets for projects.
• Excellent written and oral communication skills.
• Problem-solving skills to effectively handle challenges while meeting brand and creative standards.
• Highly ethical conduct in all professional interactions.
• Willingness and ability to travel both domestically and internationally.
• Availability to work flexible hours as the role demands.
