Role Overview

The Event Operations Coordinator plays a vital role in supporting strategic planning, managing execution, and overseeing Yahoo’s diverse events and experiential marketing initiatives. This prominent position demands professionalism, agile problem solving, perseverance, and a good sense of humor.

Key Responsibilities

  • Simultaneously oversee multiple event projects by monitoring key milestones, deliverables, and timelines to guarantee successful outcomes.
  • Manage event registration processes, including building registration forms, overseeing attendee lists, and maintaining event data in systems like Google Docs, JiffleNow, and SplashThat.
  • Create and update presentation decks and meeting materials using Google Slides.
  • Compile, organize, and track project data, event metrics, and reports through Google Sheets.
  • Handle travel coordination tasks such as hotel room blocks, transportation arrangements, and other attendee logistics.
  • Utilize spreadsheet automation and artificial intelligence tools in Google Sheets to prepare reports on event metrics, attendance, and budget status.
  • Innovate by identifying opportunities to automate administrative duties using AI to enhance efficiency and speed in project delivery.
  • Prepare, package, ship, and organize event supplies, occasionally handling materials weighing up to 50 pounds.
  • Serve as the main contact for vendor contracts and payment procedures, managing contract execution, purchase orders, invoice workflows, payment tracking, and ensuring effective cross-team communication.
  • Provide continuous administrative and operational assistance to support the smooth planning, organization, and execution of global events and marketing activities.

Qualifications

  • Bachelor's degree or equivalent practical experience.
  • At least two years of experience in a corporate or agency environment, preferably in administrative, operations, project coordination, or events support roles.
  • Exceptional organization skills with the ability to prioritize and meet deadlines.
  • Experience managing administrative processes such as purchase orders, contracts, invoices, and payment tracking.
  • Ability to quickly learn new technologies and system processes with a solution-driven attitude.
  • Proficiency across Google Suite applications.
  • Interest in applying emerging AI technologies for enhancing event operation efficiency and data reporting.
  • Ability to excel in a fast-paced, innovative environment alongside a high-performing team.

Compensation & Benefits
